Job summary

AL-MONITOR in Washington, DC is seeking an Events Manager to lead end-to-end events, workshops, and webinars, reporting to the Executive Director, Events & Partnerships.

You will own the run of show, coordinate venues, vendors, guest experience, VIP logistics, and post-event reporting, ensuring on-time delivery, budget discipline, and polished diplomacy with diplomats, sponsors, and editors. This role requires evenings and weekends and travel as needed.

Qualifications

  • 3 to 5 years in event coordination or events management
  • Proven ability to run events end to end: venues, vendors, budgets, run of show, and on-site coordination
  • Excellent project management with a backwards-planning mindset
  • Experience managing VIPs and high-profile guests, including protocol and discreet care
  • Ability to work evenings/weekends and be on-site in Washington, DC
  • Authorization to work in the United States
  • Willingness to travel as needed

The Role

The Events Manager is the execution lead for AL-MONITOR's events, workshops, and webinars, and the right hand to the Executive Director, Events & Partnerships. The Executive Director sets the strategy, the brief, and the budget and owns the partner relationships and revenue; you take that brief and make it real. You turn each plan into a detailed working timeline and run it, tracking every task, and following up so nothing slips, owning the execution against the plan so every detail actually happens on time and to standard. On event days you are the production lead behind the scenes, keeping the show on track while the Executive Director works the room. Because our events bring together diplomats, sponsors, senior journalists, and other high-profile guests, this role calls for a warm, polished, and diplomatic presence alongside sharp operational instincts. It is a hands-on, detail-driven role for someone who thrives on flawless execution and on keeping a busy calendar organized and on track.

What You'll Do
  • Manage events end to end, from planning through on-site execution and post-event wrap-up
  • Turn the Executive Director's event brief into a detailed working plan and run it, working backward from the event date to map every deliverable, dependency, and deadline, and keep all workstreams on track
  • Research and recommend venues, vendors, and event formats, comparing options on cost, availability, and fit, and presenting recommendations for approval
  • Source, negotiate, and manage vendors, including catering, AV, photography, and staffing, keeping each event on budget and on schedule
  • Build and run the run of show and production schedule, and serve as the on-site production lead, coordinating vendors and staff and making sure every detail happens, directly and by directing the intern and staff
  • Own registration and guest experience, from RSVPs and guest and VIP lists to check-in and credentialing
  • Serve as a warm, polished point of contact on site for guests, speakers, sponsors, and partners, including diplomats and other senior figures
  • Coordinate speaker and VIP logistics, including travel, hotel, and day-of preparation
  • Produce AL-MONITOR's workshops and growing webinar program, coordinating speakers with Editorial and handling scheduling, platform, promotion, and rehearsals
  • Work hand in hand with Editorial, Marketing, and the wider team, anticipating what each will need and requesting it well ahead of deadline, from speakers and content on the editorial side to promotion and emails on the marketing side
  • Keep the Executive Director closely informed with regular status updates on deliverables, timelines, and research, and flag risks or gaps early
  • Fulfill and track sponsor and partner deliverables, and compile the post-event recaps sponsors receive
  • Track event budgets, process vendor invoices, and keep clean financial records for each event
  • Prepare and maintain event and outreach lists, cleaning, de-duplicating, and enriching contact data so it is accurate and ready to use
  • Run the list and email work with Marketing that re-engages prior contacts and turns event attendees into subscribers
  • Compile post-event and webinar reporting, tracking attendance, engagement, and results, and maintain organized records of events, vendors, and outcomes so the program builds institutional knowledge
  • Anticipate risks, build contingency plans, and solve problems calmly in the moment
  • Prepare event and partnership decks and materials, and track industry and competitor events to surface new formats and ideas
  • Manage the Events Interns
  • Maintenance and updating of speaker, sponsor and invitation lists, synchronized with AL-MONITOR data bases.
What You Need to Succeed
  • 3 to 5 years in event coordination, event production, or events management, ideally in media, an agency, a membership organization, or a mission-driven setting
  • A proven ability to run events end to end: venues, vendors, budgets, run of show, and on-site coordination
  • Excellent project management with a backwards-planning mindset: you take a brief, map the timeline, anticipate what each team needs, and chase down dependencies before they slip
  • Experience managing VIPs and high-profile guests, including protocol, forms of address, and discreet, high-touch care for diplomats, officials, and other senior figures
  • The composure to juggle multiple events and deadlines at once and stay sharp under day-of pressure
  • Excellent people skills and a warm, diplomatic presence with senior guests, speakers, sponsors, and partners
  • A collaborative, dependable working style, comfortable partnering with and taking direction from senior leaders and coordinating clearly across editorial, marketing, and other teams
  • Comfort working with editorial or content teams and staging speakers and high-profile guests
  • Comfort with data and reporting, from pulling attendance and engagement metrics to building clear post-event recaps
  • Experience maintaining lists or a CRM, including cleaning and enriching contact data
  • Excellent written and verbal communication with teams, vendors, and partners
  • Availability to work evenings and weekends around events, travel as needed, and be on-site in Washington, DC
  • Authorization to work in the United States
  • Willingness to travel as needed
Nice to Have
  • Experience producing webinars or virtual events
  • Familiarity with HubSpot or a CRM and event tools such as Cvent or Eventbrite
  • Experience with data enrichment or research tools
  • Interest in policy, foreign affairs, or journalism, and knowledge of the Middle East
How Success Is Measured

Success in this role is operational. It looks like events that run on time, on budget, and to a high standard; reporting and recaps delivered quickly after each event; accurate, up-to-date lists and event data; and new audience captured and converted into subscribers. These execution outcomes directly support the Executive Director's revenue, audience, and brand KPIs.
