Major Functions:
Manages planning and execution of all internal and external Providence House fundraising events
Location:
Hybrid, East Campus Tuesday-Thursday, Remote Monday & Friday
Requirements
Providence House Events:
- Manage and execute all facets of Providence House events from beginning to end, including event strategy, event planning and production, fundraising elements including auctions, raffles, etc., entertainment, general meeting planning, site selection and venue management, food/beverage management, all event operational logistics, and post-event survey and evaluation
- Lead all event financial/budget management including setting detailed revenue and expense goals with Marketing & Communication Director and Donor Relations Director, monitoring donations, sponsorships, and purchases and keeping updated records to report activity, creating and following up on invoices, executing post-event reconciliation and updates to the CRM
- Manage all event digital fundraising platforms (i.e. event module in Raiser’s Edge, GiveSmart, Square, etc. and track all registrations, sponsorships, budgets and other data input for events
- Lead event solicitation and follow-up, including pulling queries in Raiser’s Edge for mailing lists, event donations and sponsorships with oversight from the Donor Relations Director and Marketing & Communication Director
- Develop event thematic elements and support creation of event marketing collateral including content and design, script and presentation management, and event sponsorship and guest ticket solicitation and mailing, with oversight from Marketing & Communication Director and Donor Relations Director
- Manage all Corporate Partner event-related benefits in conjunction with the Donor Relations Director to ensure proper stewardship and engagement.
- Establish and adhere to special event timelines. Collaborate with team members or third-party hosts to ensure deliverables, including marketing production schedules for invitation, signage, digital promotion, staff/volunteer coordination, logistics, etc.
- Identify and manage vendors and negotiation of event-related contracts, overseeing invoicing to vendors.
- Oversee event volunteer outreach, scheduling, training and job descriptions for volunteer roles at all major events
- Manage inventory, care and usage of all event materials including banners, tent, tables, chairs, decorations, display items, giveaways, etc.
- Remain current on trends, resources, and information related to events and fundraising, make recommendations and implement as appropriate
Third Party & Point of Sale Fundraisers:
- Act as the primary contact for all third-party hosted events, speaking engagements, and point of sale fundraisers, support logistics, promotion, display, and/or representation as needed
- Manage outreach, external fundraising and speaking engagement opportunities and inquiries, including solicitation, scheduling on appropriate calendars, arranging staffing and preparation of materials
- Develop and maintain relationships with local businesses and regularly solicit for opportunities for external fundraisers
- Assist with scheduling, coordination and staffing of Done in a Day Volunteer Projects
- Track and reconcile all third-party and point of sale revenue, including adhering to budget goals and timeline
General Duties:
- Represent Providence House at events, speaking engagements, conferences, meetings, etc. as assigned
- Undertake other projects as requested by the President & CEO and External Relations Directors

Summary
Qualifications:
- Bachelor’s degree in hospitality or a related field, or equivalent work experience in sales or fundraising
- Minimum of 5 years of event management experience – preferably in the nonprofit sector
- Proven success in soliciting and securing event sponsorships, donations, and ticket sales
- Proficient in Microsoft Office applications, Adobe, Canva
- Experience with event management platforms (OneCause, GiveSmart, etc.) preferred
- Must be able to accommodate evening and weekend responsibilities
- Valid State of Ohio Driver’s License and reliable transportation required
- Must pass Background Check and Drug Screen

Physical Requirements:
Candidate must be able to lift 40 pounds without restriction, bend at the waist, grasp, handle, and lift weight overhead, and have mobility in sitting, kneeling, crawling, and running which is required in daily course of work activities.
Position Type/Expected Hours of Work:
This is a full-time, exempt position. Typical hours of work and days are Monday through Friday, 9 am to 5 pm. Evening and weekend work required.
This job operates in a professional office environment. In order to successfully perform the essential functions of the job, this role routinely uses standard office equipment not limited to but including computers, phones, printer/copier/scanner fax machine, and surveillance cameras.
