Job summary

Greater Houston Community Foundation is seeking an Events & Donor Experience Coordinator. This role leads event planning, coordination, and donor stewardship to strengthen relationships with donors, fundholders, and partners.

The ideal candidate is organized, proactive, and capable of managing multiple stakeholders in a hybrid, donor-focused environment. Flexible schedule and some evenings/weekends are expected.

Qualifications

  • Bachelor’s degree or equivalent experience, with 3–5 years of experience in event planning, nonprofit management, hospitality, donor relations, customer experience, project coordination, or a related field.
  • Experience coordinating events or programs involving multiple stakeholders and competing priorities, with excellent organizational skills and attention to detail.
  • Demonstrated initiative, resourcefulness, and ability to manage priorities with minimal supervision while collaborating across departments.
  • Experience working with high-net-worth individuals, professional advisors, executives, donors, or clients in a professional, responsive manner.

Greater Houston Community Foundation is seeking a relationship-driven Events & Donor Experience Coordinator to help deliver exceptional experiences for donors, fundholders, professional advisors, and community partners. This highly collaborative role leads event logistics, coordination, and stewardship support, ensuring every interaction is seamless, thoughtful, and engaging. The ideal candidate is organized, proactive, detail-oriented, and passionate about creating meaningful experiences that strengthen relationships and advance the Foundation’s mission.

Responsibilities:
Event Planning & Coordination
  • Coordinate planning and execution of events for donors, fundholders, professional advisors, nonprofits, and/or community engagement.
  • Develop and manage event timelines, planning checklists, registration processes, logistics schedules, and event calendars.
  • Coordinate venues/vendors, catering, AV, signage, printed materials, event supplies, and room setup.
  • Manage invitation lists, registration tracking, attendee communications, event confirmations, and event materials.
  • Own operational aspects of assigned events from planning through completion, serving as the decision-maker and escalation point while managing deadlines and change-control processes.
  • Serve as on-site event coordinator to ensure smooth execution and a positive participant experience.
Donor Experience & Event Stewardship Support
  • Support donor-facing experiences and stewardship activities designed to strengthen relationships and deepen engagement.
  • Coordinate volunteer opportunities, site visits, and other donor engagement opportunities.
  • Assist with gathering donor feedback and identifying opportunities to improve participant experiences.
  • Maintain accurate event participation and engagement information in CRM systems.
  • Support personalized outreach, event follow-up, and donor hospitality considerations.
Project Coordination & Cross-Functional Support
  • Coordinate donor-facing initiatives by tracking timelines, deliverables, action items, and follow-up responsibilities.
  • Schedule meetings, document notes, and support cross-functional collaboration across internal teams.
  • Maintain event records, planning documents, templates, resources, and standard operating procedures.
Qualifications & Experience
  • Bachelor’s degree or equivalent experience, with 3–5 years of experience in event planning, nonprofit management, hospitality, donor relations, customer experience, project coordination, or a related field.
  • Experience coordinating events or programs involving multiple stakeholders and competing priorities, with excellent organizational skills and the ability to manage details, meet deadlines, problem solve, and communicate progress.
  • Demonstrated initiative, resourcefulness, and ability to manage competing priorities with minimal supervision while collaborating effective across departments and work styles.
  • Experience working with high-net-worth individuals, professional advisors, executives, board members, donors, clients, members, or customers, with a professional, responsive approach and commitment to participant needs.
  • Proficiency with Microsoft 365 and CRM or event registration systems; familiarity with Salesforce, Pardot, Canva, and Monday.com or equivalent preferred.
  • Ability to maintain confidentiality, build positive relationships with internal and external stakeholders, and support occasional evenings, weekends, local travel, and physical event setup requirements.
Physical Requirements
  • Ability to lift, carry, push, pull or otherwise move files up to 10 pounds frequently and up to 40 pounds occasionally.
  • Ability to stand and walk for extended periods during meetings and events.
  • Ability to stoop, kneel, crouch, bend, reach, and climb stairs frequently.
  • Ability to set up, arrange, and dismantle event materials and equipment.
  • Ability to work occasional evenings and weekends in support of Community Foundation events.
  • Ability to travel locally to event venues and community locations as needed.
  • Ability to remain in a stationary position 65% of the time.
  • Ability to move about inside the office to access file cabinets, office machinery, etc. 35% of the time.
Remote Work Policy

For the foreseeable future, Greater Houston Community Foundation is committed to providing a hybrid-work arrangement for employees to work remotely. In addition, the Community Foundation requires new hires to report to the office for at least the first two weeks of employment. This position is eligible for the Community Foundation's hybrid work arrangement; however, attendance at all assigned Community Foundation events is mandatory. The employee is expected to be physically present for pre-event preparation, event execution, and post-event activities, as determined by the supervisor. These in-person responsibilities are an essential function of the role.
