Job summary

Citizens for Responsible Energy Solutions (CRES) seeks an Events Coordinator to support planning, coordination, and execution of a dynamic portfolio of events for CRES and CRES Forum. You will work with the Director of Events and other departments to ensure seamless logistics for conferences, national weeks, and forums.

The role demands a creative, detail-oriented professional who can engage high-profile stakeholders and manage multiple priorities in a fast-paced environment.

Qualifications

  • 3-5 years of relevant experience in event planning or a related field.
  • Familiarity with catering logistics, menu planning and working with food and beverage vendors.
  • Proficient in Word, Excel, PowerPoint and Outlook; experienced with Cvent and Salesforce.

Responsibilities

  • Event Logistics and Coordination: plan and execute large conferences and smaller events; manage timelines and budgets.
  • Event Promotion and Communication: develop promotional materials; manage invitations and RSVPs; maintain attendee records in Cvent.
  • On-Site Event Support: assist with registration, attendee needs, and vendor coordination on site.
  • Data Management and Reporting: track event metrics and post-event reports using Salesforce and Cvent; coordinate cross-functional teams.

Citizens for Responsible Energy Solutions (CRES) is a non‑profit organization founded in 2013 to engage Republican policymakers and the public about responsible, conservative solutions to address our nation’s energy, economic and environmental security while increasing America’s competitive edge. This work includes building out robust political and advocacy operations to support Republican clean energy champions in the U.S. House and Senate. In addition to working with members of Congress and legislative staffs to discuss policy ideas, the CRES team members also collaborate with industry representatives and subject matter experts in their mission to bring Americans together to solve our most pressing issues. CRES policy goals include:

  • Reducing global emissions and growing the U.S. economy
  • Enacting policy that builds off historically successful approaches to affordable clean energy
  • Affordably reducing domestic emissions in a manner that can beleveragedglobally
Scope of Work:

TheEventsCoordinatorplays a critical role in theCommunications& Eventsteam by supporting the planning, coordination, and execution of a dynamic and impactful portfolio of events for CRES and CRES Forum. These events include National Clean Energy Week, COP (Conference of the Parties), salon dinners, CRES Forum events, the annual fly-inand more. Reporting to the Director of Events, this position ensures that all logistical and operational aspects are handled efficiently and professionally, contributing to the success of each event.TheEventsCoordinatorwill work closely with the Directorof Events, alongside other CRES departments, to provide critical support and ensure seamless execution of all eventlogistics.

Responsibilities:

Event Logistics and Coordination:

  • Partner with the Director of Events on the planning and execution of large‑scale conferences andspecial events, while serving as the lead planner for smaller events and programs.This includes venue selection, vendor coordination, catering arrangements, etc.
  • Manage event timelines, ensuring deadlines for deliverables are met.
  • Support the Director of Eventswithtracking event budgets and expenses.

Event Promotion and Communication:

  • Coordinate with the Communications team to develop promotional materials and manage event invitations and RSVPs.
  • Build andmaintainevent websites, registration paths, communications, and attendee records in Cvent.
  • Ensure accurate and timely communication with stakeholders and attendees.

On‑Site Event Support:

  • Provide hands‑onassistanceduring events, including registration, guestassistanceand troubleshooting as needed.
  • Act as the primary point of contact for vendors and venue staff for assigned events, ensuring smooth communication and execution.

Data Management and Reporting:

  • Maintain detailed records of event metrics, attendeefeedbackand post‑event reports to inform future planning.
  • Utilize tools such as Salesforce and Cvent for tracking event data.
  • Partner with the External Relations, Communications,Policyand Government Relations teams to align eventobjectiveswith organizational priorities.
  • Support the development of briefing materials and agendas for event participants.

General Administrative Support:

  • Prepare and manage expense reports while providing meeting support by taking detailed notes to ensureaccuratedocumentation and follow‑up.
  • Assistwith other administrative tasks related to event planning and execution.
  • Perform other duties as assigned

Education and Experience:
Required:
  • 3-5years of relevant experience in event planning ora relatedfield.
  • Familiarity with managing cateringlogistics, menu planning and working with food and beveragevendor, e.g., serving experience.
  • Demonstratedexpertisein tools such as Word, Excel,PowerPointand Outlook to support effective communication and task management.
  • Skilled in platforms like Cvent and Salesforce for planning,organizingand tracking eventlogisticsand data.
Preferred:
  • Bachelor’s degree in relatedfield.
  • Experience in a non-profit, advocacy,trade association, government, Congressional,public policyorganizationor working on the Hill.
  • Proven experience working with or within Republican or conservative political environments,demonstratinga strong ability to build relationships and effectively advance policyobjectives.
  • Basic understanding of energy, climate, or environmental policy topics.
