Job summary

Sharp Performance Inc. is seeking an Events Coordinator to own end-to-end event logistics—from contract through wrap-up—and to support the go-to-market team. You will report to Growth Marketing and collaborate with Marketing, Sales, and Business Development.

The role focuses on booking meetings, shipping, and show floor readiness. The position requires 5–7 years of event coordination or executive support, with experience in trade shows.

Responsibilities

• Before each event: register booth, manage deadlines, negotiate vendor contracts, build event budget, order materials, create prep doc in Notion
• Travel and hospitality: book flights/hotels, arrange dinners and team events
• After each event: arrange return shipping, reconcile invoices, capture cost data for next event
• Speaking engagements: find/book opportunities, maintain events calendar, support GTM travel/logistics

The Opportunity

Sharp Performance is hiring an Events Coordinator to own the logistics behind every trade show and conference we attend, from contract to wrap-up, and to support our go-to-market team. You will report into Growth Marketing and work across Marketing, Sales, and Business Development.

Our field team's job is to book meetings and work the booth. Your job is to make sure everything around them is booked, shipped, and set up on time and on budget.

This role suits a seasoned organizer who likes owning the details end to end and wants to see their work show up on the show floor.

What You'll Do

Before each event

• Register the booth and team, and manage exhibitor deadlines, forms, and badge lists
• Negotiate and manage vendor contracts, tracking deposits, payment dates, and cancellation terms
• Build and track a budget for each event
• Order print materials, booth graphics, and giveaways, and ship everything the booth needs so it arrives on time
• Build a Notion prep doc for each event with the schedule, booth setup instructions, staffing, meetings, and key contacts

Travel and hospitality

• Book flights and hotels for the team
• Make restaurant reservations for customer dinners and team events

After each event

• Arrange return shipping and keep an inventory of booth materials
• Reconcile invoices and expenses against the budget
• Record costs and lessons learned to plan the next event better

Speaking engagements and GTM support

• Find and book speaking engagements for our Business Development team, a group of former public safety leaders who represent Sharp in the market
• Keep a shared calendar of upcoming events, deadlines, and speaking opportunities
• Support go-to-market leaders with travel, scheduling, and logistics as needed

What Success Looks Like

• Every event runs on time and on budget, with no missed deadlines
• The field team arrives to a booth that is ready and a prep doc they can rely on
• Business Development has a steady calendar of speaking slots

What We're Looking For

You have 5 to 7 years of experience in event coordination, executive assistance, or both, including trade shows or conferences. Experience with events in public safety, government, or adjacent markets is a plus.

You also bring:

• Experience running several events at once with overlapping deadlines
• Comfort negotiating with vendors and reading contracts
• Experience building and tracking event budgets
• Experience booking group travel and managing calendars for a busy team
• Clear written communication, and the habit of documenting everything so others can follow it, ideally in Notion
• Calm under pressure when plans change the week of an event
