Job summary

Barrow Wise Consulting, LLC is seeking an experienced events professional to lead logistics for meetings, conferences, and exhibitions. You will coordinate venue needs, signage, invitations, and attendance while ensuring compliance with project requirements and budgets.

Ideal candidates have 7+ years of event coordination experience, a Bachelor's degree, and strong skills in Adobe Creative Cloud and MS Office.

Qualifications

  • Minimum 7 years of event coordination/management experience.
  • Bachelor's Degree required; U.S. Citizenship.
  • Samples of expo booths, inventories, and event checklists requested.

Responsibilities

  • Provide logistics support for meetings, events, and conferences.
  • Manage venue requirements, signage, invitations, attendance and other needs.
  • Research requirements to prepare NSF Director and staff for interactions.
  • Coordinate exhibits, technology, and vendor/partner management.
  • Oversee contracts, signage, shipping, and catering logistics for events.
  • Prepare after-action event reports and manage asset inventories.
  • Carry/transport heavy equipment (50+ lbs) for onsite events.

Responsibilities
  • Provide logistics support for a variety of meetings, events, and conferences
  • Provide direct support to internal and external events, including managing venue requirements, signage, invitations, attendance, and other requirements as needed.
  • Research requirements and context for various events, meetings, and conferences, to ensure that the NSF Director and OLPA Staff are prepared to interact with various audiences and stakeholders.
  • Identify and manage inventory for educational information resources and other outreach materials.
  • Coordinate exhibit design, technology, and management with designated vendors/partners.
  • Provide expert guidance on the most efficient and effective options for building/curating/creating exhibits and activations, supplies, and experiences to suit specific event needs.
  • Ability to carry/maneuver various pieces of heavy equipment (50+lbs) for onsite events and exhibits (e.g., carrying banners/boxes of materials to rolling crates).
  • Oversee all logistical elements of designated events, including but not limited to working with the venue staff to manage venue contracts (i.e., electric, internet, rentals, etc.), signage/decor, shipping to and from events, and overseeing any catering needs.
  • Independent room setup and take down for smaller events/projects.
  • Provide pricing/purchasing for signage/décor in concert with the NSF branding team.
  • Provide set-up, breakdown, and support throughout the event to ensure it runs smoothly.
  • Familiar with federal requirements (e.g., 508 compliance) and will ensure NSF is compliant with such regulations.
Ideal Candidate
  • U.S. Citizenship
  • Bachelor's Degree and seven years of experience
  • Minimum 7 years of event coordination/management experience
  • Provide the following samples: 2-3 Pictures of expo-style booths you have managed; a sample (snapshot) inventory list; a sample event checklist;
  • Expert level of experience with using the Adobe Creative Cloud suite of products.
  • Expert level of experience using the Microsoft Office suite of products.
  • Ability to gather requirements from stakeholders and work collaboratively within a team as well as independently on assigned projects.
  • Ability to take creative directions from stakeholders.
  • Demonstrated expert level of experience with asset management systems.
  • Demonstrated expert level of experience working with major trade exposition companies, including managing relationships, purchasing of materials and services, coordinating logistics, and other related activities
  • Demonstrated ability to manage shipping and receiving logistics, including direct-to-site shipping, shipping to an advanced warehouse, overnight shipping, and event-to-event shipping.
  • Ability to generate detailed after-action reports for each event.
