Position Summary

The Events and Operations Assistant provides event and operational support for the Dean's Office at the School of the Arts and Architecture (SOAA). The role includes administrative support to ensure smooth office operations and successful event execution. Responsibilities include supporting the Director of Operations with projects and events, maintaining office equipment and supplies, coordinating parking services, and streamlining office procedures.

Salary & Compensation

Qualifications
  • Ability to manage multiple projects and maintain scheduling for various programs. Monitor progress and provide regular updates. (Required)
  • Skill in coordinating complex tasks and managing information flows with minimal supervision. (Required)
  • Excellent written communication skills for reports and correspondence; effective communication with diverse backgrounds. (Required)
  • Ability to coordinate detailed meeting schedules and organize work efficiently. (Required)
  • Strong verbal and written communication skills; diplomacy and accuracy. (Required)
  • Interpersonal skills to build cooperative relationships with faculty, staff, students, and donors. Maintain composure under resistance or hostility. (Required)
  • Knowledge of university procedures for facility maintenance and repair requests. (Preferred)
  • Knowledge of art and building materials, supplies, and tools; ability to lift 50+ pounds repeatedly. (Preferred)
  • Ability to prioritize, manage workload, meet deadlines amid changing priorities. (Required)
  • Initiative and discretion in handling confidential materials and sensitive issues. (Required)
  • Proficiency in PC-based applications like Outlook, Access, Word, Excel, and internet research. (Required)
  • Familiarity with university online systems such as UCLA Procurement, Travel, Events On Line, Facilities Maintenance, and Bruin E-Permit. (Preferred)
Education, Licenses, Certifications & Personal Affiliations
  • Bachelor's Degree or equivalent experience/training preferred.
