Job description

Events and Membership Manager

The Concord Museum seeks a highly organized, collaborative, and detail-oriented Events and Membership Manager to support the Museum’s Advancement team through the successful execution of membership programs, fundraising and cultivation events, and volunteer engagement initiatives.

This position serves as the primary manager of the Museum’s membership program while coordinating the logistics and operational execution of a robust calendar of events, including patron member programming, donor cultivation gatherings, and annual events. The Events and Membership Manager plays a key role in creating meaningful experiences that deepen engagement with the Museum’s mission, strengthen relationships with supporters, and expand the Museum’s community of members and donors.

The ideal candidate is proactive, service-oriented, technologically adept, and energized by both relationship-building and operational excellence.

This is a full-time position based in Concord, Massachusetts, with a salary of $60,000–$65,000 and a competitive benefits package.

Primary Responsibilities

Events Management and Logistics

  • Serve as the operational point-person for museum events and maintain clear systems and timelines surrounding event logistics and staffing.
  • Coordinate and execute annual fundraising and campaign events, including the Museum’s signature annual event — the Midnight Ride Celebration — and other cultivation, stewardship, and fundraising events.
  • Manage event RSVPs, ticketing, invitation lists, nametags, seating assignments, and related guest logistics.
  • Coordinate event staffing schedules and volunteer support in collaboration with museum colleagues.
  • Manage select event logistics with external vendors and relevant museum staff before, during, and after events to ensure a high-quality guest experience and smooth event execution.
  • Maintain accurate event records and reporting, including attendance tracking and event ROI reporting for the Director of Advancement.
  • Support donor stewardship and cultivation efforts through thoughtful event coordination and relationship management practices.
  • Maintain strong alignment with the museum’s visitor experience standards.
  • Coordinate volunteer participation and event support for museum fundraising and engagement activities.

Membership Management and Member Engagement

  • Manage all aspects of the museum’s membership program, including new memberships, renewals, upgrades, lapsed member outreach, and membership fulfillment.
  • Process and distribute membership cards and acknowledgement letters on a regular basis.
  • Serve as the primary point of contact for member inquiries, providing responsive, informed, and welcoming customer service across all communication channels.
  • Conduct welcome calls to new members to build relationships, answer questions, and assess member affinity and engagement potential.
  • Utilize Wave and Tessitura to screen members and prospects for philanthropic capacity and engagement opportunities.
  • Design and continuously refine strategies for new member engagement and first‑year retention in collaboration with the Director of Advancement.
  • Execute renewal campaigns and recapture efforts to improve member retention across all membership levels.
  • Conduct membership growth campaigns to expand general, patron, and institutional membership households.
  • Work with the Director of Marketing, Communications, & Media Relations on member communication strategies regarding upcoming programs, events, benefits, and museum initiatives to strengthen long‑term engagement.

Advancement Operations and Technology

  • Utilize Tessitura to maintain accurate records, track activity, and support data integrity.
  • Assist with reporting, list management, and administrative processes that strengthen internal workflows and stakeholder engagement.
  • Support backend website and ticketing system management related to membership and events.
  • Collaborate closely with Advancement colleagues to ensure consistent communication, accurate data management, and efficient departmental operations.
Qualifications
  • Bachelor’s degree or equivalent professional experience preferred.
  • Minimum of 2–4 years of experience in event planning, membership management, advancement, nonprofit administration, hospitality, or related fields.
  • Exceptional organizational skills and attention to detail with the ability to manage multiple projects simultaneously.
  • Strong interpersonal and communication skills with a warm and professional customer‑service orientation.
  • Experience working with CRM databases required; familiarity with Tessitura preferred.
  • Ability to work collaboratively across departments and engage effectively with donors, members, volunteers, and community stakeholders.
  • Demonstrated ability to manage logistics independently while maintaining flexibility in a fast‑paced environment.
  • Availability to work occasional evenings and weekends for museum events.
