University Centers and Events (UCE) encompasses the University Union, Gateway Center and Coliseum. UCE provides quality programs, services, and facilities that enhance the educational experience and create a community for students, faculty, staff, alumni, and guests.
Position Overview
The event support specialist oversees part‑time staging assistants and is directly responsible for setting up open lounge spaces, meeting rooms, and large multifunction ballroom spaces. The role includes performing minor custodial duties as needed, coordinating with event scheduling staff, and working under the supervision of the Director.
Minimum Qualifications
High school diploma/GED equivalent and two years of related experience, with some experience in a lead or supervisory role.
Knowledge, Skills and Abilities
- Ability to follow oral and written instructions.
- Ability to keep records and complete forms accurately.
- Ability to direct and manage the work of others.
- Ability to apply mathematical concepts to complete tasks (e.g., measuring).
- Physical ability to stand, stoop, operate equipment, and lift.
- Familiarity with campus‑wide safety guidelines and procedures.
- Knowledge of appropriate safety and security precautions required for work performed.
Preferred Qualifications
- Ability to work with minimum supervision.
- Ability to establish rapport, maintain, and build ongoing positive relationships with students, staff, and visitors.
- Cooperative spirit in working with peers, supervisors, clients, and guests.
- Familiarity with event staging and support services.
- Familiarity with space management software.
- Familiarity with Microsoft Office Suite.
Job Duties
- Job Knowledge: Demonstrates working knowledge of space configuration and event management software; understands equipment, materials, and methods required; knows meeting room capacities and uses approved procedures.
- Performance Quality: Conducts quality checks of event setups, ensures cleaning standards, and executes change requests timely.
- Supervision: Retains and rehires student workforce; trains new staff; schedules crews effectively; addresses performance issues; supports student employee leadership.
- Safety: Uses safe work habits, operates equipment properly, keeps equipment in good condition, and reports unsafe conditions promptly.
- Communication: Works harmoniously with others, conveys information accurately and promptly to supervisors and coworkers.
- Adaptability: Identifies and solves event‑setup problems, remains flexible with assignments and priorities.
- Budget and Inventory: Exhibits conservation, efficiency, and responsibility in resource use; conducts annual equipment and furniture inventory.
- Event Support: Coordinates event setups in and around the Union and delivers equipment to other locations as required.
Physical Requirements
- Communicate and exchange information with others.
- Ascend or descend ladders, stairs, scaffolding, ramps, and poles.
- Lift and move objects up to 100 pounds or more.
- Move between work sites and perform tasks in confined spaces.
- Operate machinery, power tools, motor vehicles, or heavy equipment.
- Repeat wrist, hand, and finger motions.
- Execute predominantly sedentary work involving sitting and standing.
