Job Summary

UtahPresents is seeking an experienced, full-time Event Supervisor to help lead front-of-house operations at the historic Kingsbury Hall, one of Utah’s premier performing arts venues. Reporting to the Event Manager, the Event Supervisor oversees house management, patron safety, emergency preparedness, and a team of part-time house managers and ushers while coordinating closely with the Box Office, Production, Marketing, and Administrative teams. This role also supports event planning and client services for more than 180 annual performances, ceremonies, and community events spanning music, theater, dance, comedy, lectures, film, graduations, and more.

Kingsbury Hall is a 1992-seat historic proscenium theatre in the heart of University of Utah in Salt Lake City that hosts a wide spectrum of events and performances. Operating year-round, we support around 20 performances on the UtahPresents season as well as numerous rental events for community groups, national and international promoters, and campus groups. Genres include music, theater, dance, opera, comedy, film screenings, lectures, conferences, graduations, and more. Support may extend to UtahPresents presentations in other venues a few times a year.

Responsibilities
ESSENTIAL FUNCTIONS , SKILLS & QUALIFICATIONS

Event Management & Guest Experience: Proven experience leading front-of-house operations for assigned events ensuring entry points, lobbies, seating areas, concessions, merchandise areas, signage, staffing, and equipment are ready and welcoming. Coordinate door openings, show holds, special situations, and event transitions while actively monitoring guest flow, ticketing, usher operations, security, concessions, and housekeeping.

Leadership & Supervision: Provide clear direction and effective supervision to part-time staff and volunteers. Recruit, train, schedule, and evaluate front-of-house personnel; maintain staffing levels based on event needs; approve timecards and payroll; and foster a positive, accountable team environment.

Customer Service & Safety: Provide highly visible, responsive guest service and confidently address patron or staff concerns, seating issues, conflicts, and emergencies. Use sound judgment and de-escalation skills, enforce venue and University policies, and know when to involve management, security, or emergency services.

Event Planning & Coordination: Serve as the primary front-of-house contact for assigned clients from planning through event close, often coordinating multiple clients’ needs simultaneously. Conduct client meetings and site visits, use event management software to track and communicate event needs, and coordinate with internal departments, campus partners, vendors, contractors, and service providers.

Technology & Administrative Skills: Confidently operate and troubleshoot ticketing and scanning systems, point-of-sale equipment, cash readers, radios, and other event technology. Experience with Spektrix, Ticketmaster, or similar ticketing systems preferred. Proficient with Microsoft Office, scheduling, supply ordering, cash handling, PCI compliance, basic accounting, event documentation, settlements, and incident reporting.

Concessions & Event Revenue: Coordinate concessions and merchandise operations, including product planning, ordering, inventory, pricing, point-of-sale needs, staffing, and close-out. Ensure PCI compliance and accurate documentation of vendor invoices, settlements, and event-related revenue.

Accessibility & Inclusion: Serve as an operational advocate for accessible and inclusive guest experiences. Coordinate accessible seating, routes, assistive listening devices, ASL interpretation, captioning, and other accommodations. Ensure clear pathways, appropriate signage, accessible seating, and compliance with applicable ADA requirements and University policy.

Communication & Professionalism: Demonstrate excellent written and verbal communication skills, strong organizational ability, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. Spanish-language proficiency and familiarity with current information technology trends and platforms are a plus.

Physical Requirements: Able to stand, walk, and navigate stairs and ramps for the duration of events, including in low-light and occasionally loud environments. Ability to lift up to 40 pounds and assist with moving and setting up temporary tables, chairs, tents, and similar equipment. Must be able to communicate clearly and hear or lip-read adequately.

Minimum Qualifications

EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Supervisor, Event Planning Management: Requires a bachelor’s (or equivalency) + 2 years of directly related work experience or a master’s (or equivalency) degree.

Preferences

Preferred Experience: Supervisory experience in a mid- to large-sized event venue, or comparable experience as an event manager or coordinator.

Certifications: Crowd Manager and First Aid/ AED certification preferred.
