Job summary

Proske GmbH is seeking an experienced Event Project Manager (m/f/d) for our US team to plan, manage, and deliver national and international events across live, hybrid, and virtual formats. You will consult with clients, ensure strict adherence to SOPs and privacy laws, and drive schedules, budgets, and performance across multiple workstreams.

Expect to work in a fully remote capacity with up to 30% travel, collaborating with global teams.

With our multicultural team we realize individual solutions for our worldwide and constantly growing customer base that inspire! For our US team, we are looking for an Event Project Manager (m/f/d). The Proske project managers are experts in strategic meeting management – for virtual solutions as well as live-marketing programs. The service portfolio ranges from trustful client consulting, conceptual design, solution-focused implementation to analytical evaluation of our meetings. THIS MAKES YOUR DAY AN EVENT/ KEY RESPONSIBILITIES
  • Independently plan, manage, and deliver national and international events across various formats (live, hybrid, and virtual)—from initial briefing through post-event wrap-up.
  • You are an experienced consultant to clients and stakeholders.
  • Ensure strict adherence to client SOPs and industry regulations (especially for healthcare/pharmaceutical programs, e.g., HCP guidelines, Sunshine Act, and data privacy).
  • Build and drive project schedules, setting milestones and ensuring deliverables across all workstreams stay strictly on time.
  • Motivate your project team to achieve common goals and work closely with our Creation, Operations, and Production.
  • During the entire project, build, monitor, and actively manage project budgets, prepare and analyze reports as part of project controlling and take over the project closure.
  • Travel to our (inter-)national events and provide competent on-site support to our clients as well as participants, within estimated 30% travel per year.
  • A professional background in event, project, or hospitality management is essential.
  • 3–5+ yearsof hands-on event planning and project management experience within an event agency, DMC, or corporate event department is required; knowledge of the pharma industry and event compliance regulations is a plus.
  • Attention to detail combined with a proven ability to manage multiple (complex) events, competing priorities, and tight deadlines simultaneously.
  • Financial literacy related to creating and managing event budgets, forecasting costs, processing invoices, and preparing accurate financial reconciliations.
  • Strong negotiation skills paired with a proactive, solution-oriented mindset are expected.
  • Demonstrated proficiency with Cvent (or equivalent event tech platforms).
  • Knowledge of virtual meeting platforms like Zoom, Teams, or ClickMeeting is beneficial.
  • Interest in event industry trends and curious mindset in leveraging AI tools to optimize workflows and drive daily efficiency
  • Excellent verbal and written communication in English is required; additional languages are a plus.
  • Willingness to travel domestically & internationally.
  • Compensation: Competitive annual base salary between $74,000 – $80,000, evaluated based on a wide range of compensation factors (e.g skills, qualifications, experience and geographical location).
