Job summary

Sentry is seeking an experienced Event and Meeting Planner to support the planning and execution of meetings and events. You will work with a Lead Planner to coordinate timelines, budgets, and stakeholder communications.

The role requires a bachelor’s degree or equivalent experience, 5+ years in event management, and the ability to travel as needed. Hybrid work options are available, with a strong focus on collaboration and professional growth.

  • Provide regular updates to stakeholders on event progress.
  • Create and maintain detailed project plans for assigned programs.
  • Prepare cost summaries and recommendations for Directors and stakeholders.
  • Compose communications for meetings and events to inform stakeholders.

Job description

Our Event and Meeting Planners provide effective project management support of meetings and events.

What You'll Do
  • Develop and implements all aspects of small to medium-size events and meeting planning requirements. Work directly with a Lead Planner on tasks pertaining to the event. Ensure timely and effective implementation of all operational aspects of a meeting or event.

  • Create program documentation to include agendas, event portfolios, overviews, budgets and proposals.

  • Meet with business leadership to understand specific events and meeting needs. Presents basic to moderately complex event plans and outcomes to the business, including executives, ensuring a clear understanding on how their vision is being supported.

  • Provide regular updates to business stakeholders on event progress Researches and responds to event related issues as they arise.

  • Participate in planning and scheduling to establish deadlines and ensure the timely completion of independent tasks, short and long-term projects.

  • Create and maintain detailed project plans for assigned programs to ensure all projects are handled appropriately and completed in timely manner.

  • Submit requests into the marketing project management system to create physical and digital event assets. Collaborate across marketing teams to ensure projects are completed according to timelines.

  • Prepare cost summary and recommendation for Director of Meetings and Events and stakeholder review/approval.

  • Compose and edit communications for meetings and events to ensure all internal and external stakeholders are knowledgeable of events taking place.

What it Takes
  • Bachelors Degree or equivalent work experience.

  • Minimum of 5 years related work experience.

  • Experience in event management and hospitality industry.

  • Experience with virtual events preferred.

  • Knowledge of safety and risk mitigation measures to execute events in a safe and secure environment.

  • Ability to work within specific time limitations and deadlines.

  • Willing to travel extensively, work a flexible schedule that includes evenings and weekends.

  • Strong organizational and interpersonal communication skills including political acumen and social perceptiveness. Ability to provide outstanding and positive customer service to all stakeholders and levels of management.

  • Demonstrated positive attitude and flexibility with change management.

  • Excellent judgment, decision-making and problem recognition/avoidance/resolution skills, including skill in determining those issues/problems that need to be brought to management's attention.

  • Proficient in the use of personal computers, automated systems, and software applications including Word, Excel and PowerPoint.
