Qualifications

The Event Experience Manager will work closely with the client to understand the program goals and objectives, providing a return on investment throughout each aspect of the program. The role focuses on tactical operations, collaborating with the operations team to deliver optimal services that support these goals. The manager will work effectively with internal support teams, external clients, and vendors, ensuring compliance with corporate and pharmaceutical guidelines.

Note: This position requires fluency in English and German.

What you will do:

You will have the opportunity to collaborate with diverse, innovative teams worldwide and make an impact by:

  • Leading logistical planning and execution of medical education programs (Symposia, Advisory Panels, Workshops) and Voice of Customer meetings for the Central European Region (Germany, Austria, Switzerland). Managing venue sourcing, contracting, registration, travel arrangements, accommodations, and AV requirements. Managing budgets and expenses independently, consulting with supervisors as needed.
  • Ensuring healthcare compliance, including HCP interactions, transparency reporting, and event lifecycle adherence.
  • Delivering high customer service to HCP participants, building strong internal and external partnerships, handling inquiries, and applying extensive experience and research to resolve issues.
  • Providing leadership and guidance within the team, mentoring members, leading projects, and ensuring objectives are met.
  • Developing, implementing, and enforcing policies, identifying improvements, and assessing risks with guidance from management. Demonstrating advanced persuasion skills.
  • Managing projects with a consultative approach for virtual, hybrid, or in-person meetings.
Additional responsibilities include:
  • Client, financial, and vendor management
  • Managing multiple projects under tight deadlines
  • Event management tasks such as venue sourcing, contract review, supplier management, event software management, and onsite coordination

What you will bring:
  • College degree or equivalent experience
  • At least 6 years in the meetings industry, especially operations
  • Fluency in English and German, with German as first language
  • Knowledge of virtual/hybrid events, healthcare compliance, and related software
  • Proficiency in Microsoft Office and event management software (e.g., Cvent)
  • Meetings Management Certification (CMP, Cvent Certified)
  • Willingness to travel up to 35% domestically and internationally
