The Event Experience Manager will work closely with the client to understand program goals and objectives, providing a return on investment throughout each aspect of the program. The focus is on tactical operations, collaborating with the operations team to deliver optimal services that support these goals. The manager will work effectively with internal support teams, external clients, and vendors, ensuring compliance with corporate and pharmaceutical guidelines.

Note: This position requires proficiency in English and French.

What you will do here:

You will have the opportunity to collaborate with diverse, innovative teams worldwide and make a significant impact through:

  • Leading logistical planning and execution of medical education programs (Symposia, Advisory Panels, Workshops) and Voice of Customer meetings in the West Mediterranean Region (France, Spain, Portugal). Managing venue sourcing, contracting, registration, travel, accommodations, and audio-visual needs. Managing budgets and expenses, working independently within broad processes, consulting supervisors as needed.
  • Ensuring healthcare compliance regarding HCP interactions, transparency, and event lifecycle management.
  • Delivering excellent customer service to HCP participants, maintaining effective communication and relationships with internal teams, vendors, and external partners. Handling complex inquiries and developing solutions based on extensive experience and research.
  • Providing leadership and mentorship within the team, participating in and leading projects, and ensuring objectives and deadlines are met.
  • Developing, implementing, and enforcing policies and procedures, identifying areas for improvement, and leading initiatives to enhance efficiency and effectiveness. Making informed decisions, assessing risks, and demonstrating advanced persuasion skills.
  • Applying project management skills for virtual, hybrid, or in-person meetings.
Additional Responsibilities Include:
  • Client, financial, and vendor management
  • Managing multiple projects under tight deadlines
  • Event management tasks: SOP adherence, digital support, venue sourcing, contract review, supplier management, event software management, registration and reporting, communication, scheduling, travel coordination, and onsite support.

What you will bring:
  • College degree or equivalent experience
  • At least 6 years in the meetings industry, especially operations
  • Proficiency in English and French
  • Knowledge of virtual/hybrid events and healthcare compliance
  • Proficiency in Microsoft Office and event management software (Cvent preferred)
  • Certifications such as CMP or Cvent Certified preferred
  • Willingness to travel up to 35% domestically and internationally
