Ultimate Staffing is seeking an organized and energetic Event Coordinator to support a well-established nonprofit organization in East Hartford. Qualifications

  • Prior experience in event planning, event management, or event coordination required.
  • Experience supporting nonprofit events, fundraising activities, or community outreach programs preferred.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple events and deadlines simultaneously.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
  • Flexibility to work occasional evening events as needed.

Responsibilities

  • Plan and coordinate nonprofit events, fundraisers, community programs, and special engagements.
  • Manage event logistics including venue coordination, catering, equipment rentals, and vendor communications.
  • Develop event timelines and ensure all deadlines are met.
  • Coordinate event registration, attendee communications, and RSVP tracking.
  • Assist with volunteer recruitment, scheduling, and event-day coordination.
  • Work closely with internal teams to support fundraising and community outreach initiatives.
  • Monitor event budgets and track expenses.
  • Oversee event setup, execution, and breakdown.
  • Maintain event records and prepare post-event reports and evaluations.
  • Build and maintain positive relationships with sponsors, donors, vendors, and community partners.
