What You’ll Do
Bring the Brands to Life
- Help plan and execute unforgettable brand experiences including pop-ups, expos, festivals, product launches, community events, and special activations.
- Partner with Marketing, Media, Brand Partnerships, and Operations to transform creative ideas into seamless, high‑impact experiences.
- Play a hands‑on role before, during, and after every event, helping deliver experiences that strengthen our connection with the Darc Sport and Civil Regime communities.
- Support event setup, merchandising, point‑of‑sale operations, attendee experience, and event breakdown while solving problems in real time.
Own the Details
- Build and manage project timelines, event schedules, run‑of‑shows, budgets, vendor trackers, and all of the operational details that keep events running smoothly.
- Coordinate venue logistics, staffing, travel, accommodations, transportation, equipment, merchandise, displays, and event materials.
- Partner with Warehouse and Logistics to ensure products, fixtures, marketing materials, and activations arrive where they need to be, on time and event‑ready.
- Keep projects organized, proactively communicate updates, and ensure nothing falls through the cracks.
Build Great Partnerships
- Source, negotiate, and manage relationships with venues, hotels, rental companies, transportation providers, production partners, caterers, staffing agencies, and other event vendors.
- Coordinate travel and accommodations for employees, athletes, ambassadors, influencers, and guests attending brand events.
- Manage contracts, invoices, certificates of insurance, permits, and other event documentation with accuracy and attention to detail.
Drive Operational Excellence
- Support event budgeting, purchase tracking, invoice reconciliation, and financial accountability.
- Develop organized systems, templates, and processes that improve event planning and execution over time.
- Identify challenges early, solve problems proactively, and help the team continuously elevate the quality of every event.
- Contribute to a collaborative, team‑oriented environment that supports strong execution.
- Build effective working relationships across teams and with external partners.
- Demonstrate professionalism, accountability, and urgency in all aspects of the role.

What You Bring
Knowledge, Skills & Abilities
Event Operations & Execution
- Strong understanding of event planning, logistics, and live event execution from planning through post‑event wrap‑up.
- Ability to manage multiple events, priorities, vendors, and timelines while maintaining exceptional attention to detail.
- Demonstrates strong project management skills with the ability to anticipate needs, coordinate moving parts, and consistently deliver high‑quality execution.
- Understands how operational excellence contributes to exceptional brand experiences.
Technical & Business Acumen
- Proficiency with Microsoft Office Suite and Google Workspace for project planning, budgeting, reporting, and communication.
- Experience using project management platforms such as Asana or similar tools to organize work, track milestones, and manage priorities.
- Comfortable working with contracts, invoices, Certificates of Insurance (COIs), permits, budgets, and other operational documentation.
- Ability to quickly learn and leverage new systems, technology, and tools that improve efficiency and execution.

Education & Experience
- Bachelor’s degree in Hospitality, Marketing, Communications, Event Management, Production, or a related field preferred.
- 2–4+ years of experience in event coordination, experiential marketing, hospitality, production, or a related field.
- Experience planning and supporting live events, festivals, expos, retail activations, pop‑ups, or community events preferred.
- Experience coordinating vendors, travel, logistics, budgets, permits, insurance requirements, and operational documentation.
- Experience working alongside Marketing, Media, Creative, or Brand teams is a plus.
Physical & Mental Demands
- This role includes a combination of office‑based work and on‑site event environments, requiring flexibility across settings.
- Ability to stand, walk, and move throughout event spaces, venues, and work areas for extended periods.
- Ability to lift, carry, and move materials, equipment, or product weighing up to 50 lbs., with or without reasonable accommodation.

- Flexibility to work extended hours (12+ hours), including nights and weekends, based on event schedules and business needs.
