Job description

Civil Clothing Inc. is looking for a friendly, highly organized Administrative Assistant with HR experience to join our team in Torrance. As the first person many employees, candidates, visitors, founders and business partners interact with, you’ll play an important role in creating a welcoming, professional, and organized experience while helping keep our office and team running smoothly.

This role is much more than managing the front desk. As an extension of our HR team, you’ll provide day-to-day administrative support across the organization while helping coordinate employee recognition, culture-building initiatives, meetings, travel, calendars, and company activities. You’ll also own the details that keep our workplace organized and welcoming, from greeting visitors and coordinating schedules to maintaining office supplies and supporting special projects.

This role is ideal for someone who genuinely enjoys helping people, takes pride in staying organized, and notices the details that make a workplace feel well cared for. You’re comfortable shifting between greeting a candidate, coordinating travel, helping plan an employee celebration, and tackling an administrative project, all while bringing warmth, professionalism, and dependable follow-through to everything you do.

What You’ll Do
Front Office & Employee Experience
  • Serve as the first point of contact for employees, candidates, visitors, vendors, and other guests, creating a welcoming and professional reception experience.
  • Manage incoming calls, deliveries, inquiries, and general front-office communication, directing requests to the appropriate person or department.
  • Maintain an organized, professional, and welcoming reception, common area, and office environment.
  • Support employees with general workplace questions and requests, connecting them with HR or other resources when appropriate.
HR, Culture & Recognition Support
  • Partner with HR to coordinate employee recognition programs, celebrations, culture-building activities, and other employee experience initiatives.
  • Assist with the planning and coordination of company meetings, employee events, milestone celebrations, and team activities.
  • Support HR with administrative projects, communications, document organization, and other day-to-day initiatives as assigned.
  • Help maintain employee-facing programs and activities that strengthen connection, recognition, and the overall workplace experience.
Administrative & Executive Support
  • Coordinate meetings, appointments, and calendars, helping manage scheduling changes and competing priorities.
  • Arrange business travel, including flights, hotels, transportation, itineraries, and other travel details.
  • Prepare and organize meeting materials, correspondence, documents, and other administrative resources.
  • Maintain organized electronic and physical files and support document management and recordkeeping.
  • Provide administrative and project coordination support to HR, leadership, and other departments as assigned.
Office Operations
  • Monitor and maintain appropriate levels of office, kitchen, restroom, and other workplace supplies.
  • Coordinate routine office maintenance, repairs, and service requests, working with vendors, property management, and internal teams as needed to ensure issues are addressed promptly.
  • Monitor shared office spaces and proactively identify facility, equipment, or maintenance needs that require attention.
  • Coordinate with vendors and service providers for office-related services, deliveries, repairs, and scheduled maintenance.
  • Assist with incoming and outgoing mail, packages, deliveries, and other office logistics.
  • Help maintain an organized, functional, and welcoming workplace for employees and visitors.
  • Build positive working relationships across the organization and contribute to a welcoming, respectful, and team-oriented workplace.
  • Handle employee, candidate, and business information with appropriate professionalism, discretion, and confidentiality.
  • Demonstrate strong follow-through and responsiveness while managing multiple requests and changing priorities.
  • Bring a service-oriented mindset and willingness to jump in wherever administrative support is needed.

Education & Experience
  • Associate or bachelor’s degree in Business Administration, Human Resources or a related field preferred.
  • 2+ years of experience in administrative support, office coordination, reception, employee experience, or a related role.
  • Previous experience coordinating calendars, travel, meetings, events, or workplace activities.
  • Previous Human Resources experience or exposure to HR administration
  • Experience within apparel, fashion, consumer products, or another fast-paced creative environment is a plus
Physical & Mental Demands
  • This role is primarily office-based with regular use of computers, phones, communication platforms, and other standard office equipment.
  • Ability to sit or stand for extended periods and regularly move throughout the office to support front desk, meeting, supply, and workplace needs.
  • Ability to occasionally lift, carry, or move office supplies, packages, event materials, or other items weighing up to 25 lbs., with or without reasonable accommodation.
  • Visual requirements include close vision, distance vision, and the ability to adjust focus when working with computers, documents, calendars, and other administrative materials, with or without reasonable accommodation.

  • This role may occasionally require flexibility in work hours to support company meetings, employee events, special projects, or other business needs.
