We organize events, build and support community, by fostering content creation activities for enterprise IT companies and the end users they wish to reach. We are headquartered in Hudson, Ohio, with staff working both in the office and remote.The Event Coordinator is a full-time position focused on supporting the team’s Tech Field Day events. These unique events bring together independent influencers in enterprise IT with innovative product companies in their space, with live and recorded video coverage. This consists of a series of invite-only technical meetings between influencers from around the world and sponsoring enterprise IT companies. Companies share their products and innovations through presentations, demos, roundtables, and more. These events are held both onsite in the Silicon Valley area and virtually. The Event Coordinator supports our efforts by managing many activities critical to the success of each event.The right candidate must have initiative, be organized, communicate efficiently both internally and with clients and contractors, and understand the importance of deadlines. You must enjoy working with people and take pride in successful event planning.Essential Functions/Key ResponsibilitiesPlan, coordinate, and execute in-person, virtual, and hybrid events, ensuring seamless experiences for sponsors, presenters, and attendees.Schedule and lead regular planning calls; maintain accurate and up-to-date planning documents and schedules.Oversee on-site event execution, including setup, catering,troubleshooting any issues, and working with all stakeholders.Research, select, and book hotels, meeting locations, and restaurants; coordinate travel arrangements with travel agents when needed.Coordinate event communications before, during, and after each event, including preparing presentation materials, scheduling sponsor review calls, and responding to inquiries.Analyze event and social media performance metrics; prepare post-event reports with insights and recommendations for improvement.Team & CultureMaintain a positive, solutions-focused attitude under pressureEmbrace a team environment that prioritizes high efficiency, sharing feedback, and constant improvement.Contribute to a collaborative, creative, and inclusive work environment.Required Skills/AbilitiesDemonstrated ability to manage multiple events and projects simultaneously from concept to executionExcellent problem-solving skills and the ability to think on your feet in high-pressure situations.Excellent verbal and written communication skillsStrong organizational skills with keen attention to detail.Ability to take directions, think through a project, and push deliverables to completionAbility to prioritize tasks and meet deadlines in a fast-paced environment.Proficiency in Google Workspace Suite and familiarity with project management toolsCreativity and flexibility to adapt to changing circumstances.Work and Travel RequirementsMust be able to commute to Hudson, OH three times a weekTravel is required around 10 times a year for Tech Field Day events.Education and ExperienceBachelor’s degree in Event Management, Marketing, Hospitality, or related field preferred.1-3 years of relevant experiencePhysical RequirementsAbility to remain in a stationary position (e.g., seated at a desk) for prolonged periods of time.Ability to operate a computer and other standard office equipment for extended periods.Ability to lift and/or move up to 25 pounds.Sufficient visual acuity and manual dexterity to perform computer work, including typing and viewing screen-based content.Ability to communicate effectively in both spoken and written English.Capacity to maintain a regular and predictable work schedule aligned with business needs, which may include scheduled meetings, deadlines, or collaborative work sessions.Ability to stand and move for extended periods during event execution.Willingness to work evenings, weekends, or holidays as needed for events.Equal Employment Opportunity StatementThe Futurum Group is proud to be an equal opportunity employer and affirmative action employer.
