Key Responsibilities
This is a highly visible role for someone who loves bringing people together. From intimate board dinners and portfolio company meetings to charity events, summits, and the firm holiday party, the range is wide and no two weeks look the same. We are looking for someone humble and hands-on, who is equally comfortable negotiating with a venue, building a run-of-show, to rolling up your sleeves to set up small events for children. We need someone who takes pride in doing whatever it takes to make an event exceptional. Essential responsibilities include, but are not limited to:
Event Coordination
- Lead planning and execution of internal and external Revelstoke events
- Develop and manage detailed event plans and timelines
- Coordinate logistics for summits, board meetings, charity events, team-building activities, holiday parties, affinity group gatherings, and internal events
- Develop and maintain events budget and expenses
- Coordinate with Accounting for event coding in Concur and process payments (wire/ACH) with proper POS
- Manage vendor relationships, event setup, and on-site execution
- Draft event communications (internally and externally) and support post-event marketing
- Gather feedback from attendees and stakeholders, analyze event success, and identify areas for improvement
- Organize, order, and distribute firm-related swag
- Support culture committee planning and documentation
- Update, maintain and communicate board calendar
- Plan and coordinate all portfolio company board meetings and associated events, both at Revelstoke and at company locations
- Ensure execution of board meetings with Revelstoke investment team members and firm leadership
- Assist with any firm event over 10 people
Conference Management
- Maintain a calendar of relevant healthcare conferences
- Partner with leadership to coordinate multi-attendee participation
- Manage travel, lodging, and meeting space logistics for conference attendees
- Secure partner approval for conference participation
- Coordinate attendee outreach and booking of meetings
- Prepare detailed itineraries for conference participants
- Coordinate with Accounting for conference coding in Concur and process payments (wire/ACH) with proper POS
In addition, this person will be expected to coordinate with the executive assistants across the firm and will be asked to serve as a back-up EA when needed.

- Proven ability to multitask and manage responsibilities across multiple teams and functions

- Demonstrated ability to deliver a white-glove, luxury-caliber experience for executives, investors, and guests, with a refined sense of hospitality, presentation, and detail
- Consistently looks for ways to elevate the guest experience — anticipating needs, curating premium venues, food and beverage, and thoughtful touches that make every event feel intentional and best-in-class
- Ability to proactively identify needs and solve problems with minimal supervision
- Excellent verbal and written communication skills
- Experience with event planning and logistics, including vendor management
- Strong proficiency in Microsoft Office Suite and Concur
- Ability to maintain discretion and confidentiality with sensitive information
- Positive, collaborative team player with a flexible, can-do attitude
