YPO Southern 7 Chapter is seeking a dynamic and enthusiastic Event Coordinator to join our small, supportive team. This role is ideal for someone who thrives in a fast-paced environment, enjoys engaging with executives and their spouses/partners, and is passionate about organizing exceptional educational and social events.
You’ll be a key player in bringing world-class experiences to life—working closely with the Chapter Director, planning committees, and vendors. The position offers flexibility and the opportunity to make a meaningful impact as a valued member of the YPOS7 family.
Primary Responsibilities Event Coordination – Multi-Day Retreats
- Collaborate with Chapter Director, meeting planners, and committees
- Build and manage event registration websites
- Handle attendee registration and support (confirmations, changes, billing)
- Coordinate airport transfers (registration, billing, reporting)
- Collect attendee information through surveys
- Maintain up-to-date rosters and event apps
- Manage event materials, supplies, and shipments
- Attend and support 3 major retreats annually (5–6 nights each)
Board Support
- Plan and execute Spring and Fall board meetings
- Attend meetings and prepare/distribute meeting minutes
- Maintain chapter leadership roster and website updates
Other Events
- Support 1–2 annual Diversity, Equity & Inclusion (DEI) events
- Manage 2–3 additional chapter/network events per year
General Support
- Assist with chapter-wide goals and initiatives as needed
- Participate in YPO global/regional workshops and trainings
- Respond promptly to member inquiries and requests

- Customer support with a friendly, empathetic approach
- Strong organizational skills and deadline management
