Job summary

Music City Center in Nashville is seeking an Event Coordinator to assist the Senior Event Manager with coordinating and producing small, local, and short-term events, with support for larger regional or national meetings.

You will prepare floor plans, liaise with lessees, supervise setups, and ensure life-safety compliance while delivering exceptional customer service. This is a full-time, on-site role located downtown Nashville.

Qualifications

  • Bachelor's degree preferred.
  • 1-3 years relevant experience.
  • 1 year of convention center, conference center, or hotel event coordination or equivalent.

  • Contacts lessees to determine specific needs of events and records information for distribution to appropriate staff.
  • Produce computer drawn floor plans detailing set-ups and life-safety compliance and obtain fire marshal approval.
  • Guide clients in preparation of events by explaining contract provisions and policies.
  • Supervise and approve set-ups, coordinating changes with clients.
  • Monitor in-house events, maintaining contact with clients and staff for success.
  • Follow up on client requests and issues; maintain event files.
  • Serve as Manager on Duty for assigned events.
  • Perform additional duties as assigned.

Education

Bachelor's degree preferred
1-3 years relevant experience
Convention center/event coordination experience

Job description

Under the direction of the Senior Event Manager, performs various duties in the coordination and production of small, local, and/or short-term business including meetings, banquets, special events, and public functions. They also provide event coverage assisting the Event Managers with larger, regional, or national meetings/events.

Responsibilities
  • Assist the Event Manager(s) and Senior Event Manager with coordination and coverage of assigned events.
  • Contacts lessees to determine specific needs of events and records information for distribution to appropriate staff
  • Produce computer drawn floor plans detailing set-ups and requirements that comply with all life safety/fire codes and obtains fire marshal approval of those required.
  • Guides clients in preparation of events by interpreting and explaining contract/handbook provisions, policies and procedures
  • Supervises and approves set-ups for events and works with clients to make necessary changes
  • Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events
  • Follows up on all client requests, concerns and problems.
  • Maintains detailed files concerning each event
  • Acts as Manager on Duty for assigned events
  • Perform additional duties as assigned.
Qualifications
  • Bachelor's Degree preferred
  • One to three years relevant experience
  • 1 year of convention center, conference center, or hotel event coordination or convention service work or any combination of education and experience equivalent to these requirements
