Job summary

hhv is seeking a motivated and detail‑oriented Event Assistant to join our team. You will work with event managers, coordinators, clients, vendors and internal teams to support planning and execution of engaging event marketing campaigns and live events.

This role offers hands-on experience in event planning, coordination, marketing, communications and project management, with opportunities to develop skills across diverse events and industries.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Event Management or related field.
  • Experience in event planning or hospitality is a plus.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple projects in a fast-paced environment.

Responsibilities

  • Assist event managers with planning and executing events including venue coordination.
  • Prepare timelines, documents, schedules, databases, and materials.
  • Support on-site operations: registration, materials, setup, attendee questions.
  • Develop event marketing materials and promotional content.
  • Communicate with clients, vendors, partners to meet requirements.
  • Track expenses, schedules, materials, and project details.
  • Collect attendee feedback and campaign results for improvement.
  • Collaborate with internal and external teams to meet deadlines.
  • Ensure events align with client goals and brand standards.

We’re currently seeking a motivated and detail-oriented Event Assistant to join our growing team. In this role, you’ll work closely with event managers, coordinators, clients, vendors, and internal teams to support the planning and execution of successful event marketing campaigns and live events.

Key Responsibilities
  • Assist event managers and coordinators with planning and executing events, including venue coordination, event logistics, scheduling, and vendor management.
  • Provide administrative and organizational support by preparing event timelines, documents, schedules, databases, and other project materials.
  • Support on-site event operations, including attendee registration, event materials, setup, organization, and responding to attendee questions.
  • Assist with the development of event marketing materials and promotional content, including presentations, social media content, email campaigns, and other communications.
  • Communicate professionally with clients, vendors, partners, and stakeholders to ensure event requirements are met and expectations are exceeded.
  • Help track event expenses, schedules, materials, and other important project details.
  • Collect and organize event performance data, attendee feedback, and campaign results to identify opportunities for improvement.
  • Collaborate with internal marketing and event teams as well as external partners to meet project objectives and deadlines.
  • Help ensure events are delivered efficiently, professionally, and in alignment with client goals and brand standards.
Requirements & Qualifications
  • Bachelor’s degree in Marketing, Communications, Event Management, or a related field preferred.
  • Previous experience in event planning, event marketing, hospitality, customer service, or a related field is a plus.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to manage multiple projects and priorities.
  • Excellent written and verbal communication skills.
  • Ability to remain organized and professional in a fast-paced, deadline-driven environment.
  • Strong teamwork, problem-solving, and interpersonal skills.
