Job description

Join to apply for the Event and Marketing Coordinator role at Austin Business Journal.

This position is hybrid, Monday - Thursday in the office and Friday remote.

As a vital asset to the events team, your contribution will be to ensure events and related processes run smoothly and seamlessly. You should exemplify superior organization, customer service, and time management skills.

Job Overview:

Coordinate, oversee, and perform a wide variety of administrative and support services for the Events Director, Publisher, and staff. Manage general event needs, office needs, and sales team support.

Job Responsibilities:
Event Support
  • Assist with pre-event duties including registration, name tags, setup/breakdown, and communication with attendees, sponsors, and honorees.
  • Collaborate with the business designer on event promotion materials and coordinate email marketing with the corporate team.
  • Manage social media accounts and schedule posts related to events.
  • Coordinate internal and external event day assignments with the Event Director and Publisher.
  • Work with the Publisher/Ad Director on advertising events like Table of Experts, Executive Insights, and Dinners, including venue and participant coordination, and managing event logistics.
  • Handle all aspects of client services during events, including attendee registration, badge creation, signage, and onsite materials.
  • Create post-event recaps for sponsors and partners, working with the Advertising Director and Account Executives to gather assets.
Office Administration
  • Manage postage, mail distribution, and office supplies; liaise with vendors and building management.
  • Assist the corporate accounting department with various tasks, including processing checks and documentation.
Sales Team Support
  • Assist Account Executives with Salesforce order entry and updates.
  • Coordinate with corporate teams to ensure positive client experiences and support revenue generation.
Professional Development

Participate in all relevant training offered by ACBJ.

Other Tasks

Assist with any additional tasks assigned by the Events Director, Advertising Director, or Publisher.

Skills and Experience:
  • High School diploma required; a 2-year college degree or equivalent experience preferred.
  • 3-5 years of relevant experience preferred.
  • Proficiency in Excel, Word, Salesforce, and ability to learn new systems.
  • Participation in training and community events is encouraged.
  • Willingness to undertake additional assignments as needed.
