Job summary

The Walsh Group - Walsh Construction & Archer Western in Chicago, IL is seeking an Estimating Information Specialist to manage estimating documentation from concept to bid. You will review drawings, coordinate with estimators, and support subcontractor outreach and CRM use across divisions.

Qualifications

• Bachelor’s Degree preferred.
• 3+ years of experience with computer systems.
• General understanding of estimating process is helpful.
• Proficient in Customer Relations Software.
• Excellent written and oral communication skills.
• Strong organizational skills and attention to detail.
• proficient in Word, Excel, PowerPoint; SharePoint and subcontractor database/invitation‑to‑bid programs.

Responsibilities

• Acquire, integrate and manage all Estimating Department documents from conception through bid completion.
• Review drawings and notify Estimating staff of changes impacting bids or deadlines.
• Liaise for subcontractor outreach programs and compliance for small/disadvantaged businesses.
• Ensure secure document handling procedures on projects.
• Review subcontractor/supplier pre‑qualifications for completeness before accounting review.
• Maintain subcontractor database and invitation‑to‑bid processes; distribute documents.
• Manage and train CRM users across divisions to maximize tool use.
• Maintain expertise in computer/software skills relevant to estimating.
• Contact bidders (MBE/DBE/WBE/SBE) for forms as needed; contact unions as required.
• Update vendor lists and upload documents; gather missing information from owners/project staff.
• Provide general support for the Estimating Department; assist leadership in meetings.
