The Estimating Coordinator plays a critical role in driving and coordinating all processes associated with the estimating and bidding of construction projects. This position ensures the timely completion of bid submissions, manages communication with vendors and subcontractors, and serves as clients' main point of contact regarding bid-related matters. The Estimating Coordinator works closely with internal teams to ensure accurate and competitive bids, leading to successful project awards and seamless hand-off to project management.

Essential Functions:

  • Collaborate with the estimating team to review historical data, including purchase orders, bid tabulations, subcontracts, and productivity reports, to develop accurate unit costs and production rates.
  • Source vendors and subcontractors for various projects, obtaining and evaluating quotations in coordination with the purchasing department.
  • Ensure that all bid documents are completed accurately and submitted on time, adhering to project-specific deadlines and requirements.
  • Review contracts prior to bid submission to verify that all terms, conditions, exclusions, and qualifications align with the company’s original proposal.
  • Ensure bid submissions comply with corporate policies, client requirements, and industry regulations.
  • Follow up on and drive the resolution of open issues related to assigned bids to ensure successful and timely completion.
  • Act as the primary point of contact for clients regarding bid notifications, inquiries, and coordination of all bid-related activities.
  • Maintain accurate bids, quotations, and historical data records for future reference and analysis.
  • Prepare and present bid-related reports and documentation for internal and external stakeholders as required.
  • Perform other related duties and tasks as assigned to support the estimating team and ensure the success of the bidding process.

Education:

  • Bachelor’s degree in Construction Science, Engineering, Business, or a related field.
  • Equivalent experience may be considered in lieu of a degree.

Experience:

  • 1 to 3 years of progressive experience in a similar role within the construction industry.
  • Experience with estimating and bidding functions in a self-performing construction environment.
  • Familiarity with construction contracts, subcontracts, and subcontractor management.

Certifications/Licenses:

  • Relevant certifications in construction management or estimating are preferred but not required.
  • OSHA 10 or 30 certification is a plus.

Knowledge, Skills, and Abilities:

  • Highly proficient in Microsoft Office Suite and familiarity with estimating software and construction project management tools.
  • Excellent oral and written communication skills.
  • Strong organizational skills and attention to detail to manage multiple bids and deadlines simultaneously.
  • Ability to work collaboratively in a team environment and independently as needed.
  • Effective time management skills to prioritize tasks and meet project milestones in a fast-paced environment.
  • Ability to apply critical thinking to solve problems and address issues arising during estimating.
  • Strong analytical skills to interpret data, identify trends, and develop accurate estimates.
  • Strong understanding of construction estimating processes, including cost analysis and production rates.
  • Familiarity with construction project documentation, including contracts, subcontracts, and bid specifications.
  • Commitment to upholding high standards of business conduct and maintaining a positive, professional attitude.
  • Make recommendations to increase operational efficiency and accuracy. Support process improvement initiatives.
  • Positive attitude and drive to succeed.
