About the Role

Our UHNW client is seeking an experienced and highly capable Estate Manager to oversee a portfolio of 5–6 private residences throughout Northern California. This individual will report directly to the Director of Residences and the Principal and will take responsibility for the overall care, maintenance, and operation of each property.

The Estate Manager will work at one property at a time, spending a day or multiple days at a residence based on the property's needs, upcoming projects, and the Principal's schedule. The Estate Manager will strategically rotate between residences to ensure each property is maintained and operating at the highest level.

The ideal candidate will have 10–15+ years of experience managing private estates, luxury residences, or complex residential properties. They should be highly hands‑on, proactive, organized, and comfortable working independently while taking direction from the Director of Residences and Principal.

Responsibilities
  • Oversee the overall management and operation of 5–6 private residences throughout Northern California
  • Rotate between properties, spending one or multiple days at each residence depending on the property's needs
  • Work directly with the Director of Residences and Principal and take direction regarding household, property, and project priorities
  • Conduct regular and detailed walkthroughs of each property to identify maintenance, repair, staffing, and operational needs
  • Ensure each residence is properly maintained, prepared, and functioning at the highest standard
  • Oversee property maintenance, landscaping, security, utilities, repairs, and other household operations
  • Manage and coordinate contractors, vendors, tradespeople, and service providers
  • Oversee construction, renovation, remodeling, and property improvement projects from planning through completion
  • Conduct regular site visits and monitor the progress and quality of construction projects
  • Manage project timelines, budgets, contractors, and deliverables
  • Identify potential issues proactively and coordinate solutions before they become larger problems
  • Manage appliance warranties, service records, and maintenance documentation for each property
  • Maintain and update household manuals and property-specific reference materials for each residence
  • Maintain detailed knowledge of each property's condition, ongoing projects, maintenance schedules, warranties, and operational needs
  • Coordinate with household staff and outside vendors as needed
  • Ensure properties are fully prepared ahead of the Principal's arrival and throughout their stay
  • Provide the Director of Residences and Principal with regular updates regarding property conditions, projects, expenses, and outstanding items
  • Travel between properties throughout Northern California as required
  • Handle urgent property matters and unexpected issues with discretion and sound judgment
  • Maintain a 24/7 on-call mentality and be available when urgent matters arise
Qualifications
  • 10–15+ years of experience in estate management, luxury property management, household management, or a related field
  • Experience working directly with a Principal or UHNW individual/family
  • Bachelor's degree required
  • Strong experience managing construction, renovation, and capital improvement projects
  • Demonstrated ability to oversee contractors, vendors, tradespeople, and service providers
  • Strong understanding of luxury residential property maintenance and operations
  • Excellent organizational, project management, and communication skills
  • Highly proactive and hands‑on with strong attention to detail
  • Comfortable working independently and taking direction directly from the Director of Residences and Principal
  • Ability to prioritize and manage the needs of multiple residences while focusing on one property at a time
  • Strong problem-solving skills and the ability to remain calm under pressure
  • Exceptional discretion, professionalism, and confidentiality
  • Flexible schedule with a 24/7 on-call mentality
  • Willingness to travel regularly between properties throughout Northern California
  • Valid driver's license and reliable transportation
  • $250,000–$350,000 annual compensation, depending on experience
