  • Familiarity with nonprofit data models (Households, Affiliations, Donations, Grants) is a plus.

POSITION MISSION STATEMENT

The Enterprise Systems Administrator is responsible for the configuration, maintenance, and optimization of the Foundation’s ERP/CRM systems, which may include iPhi, Salesforce, and other systems as identified. This role serves as the primary point of contact and subject matter expert for its assigned systems, owning day-to-day administration, enhancement requests, and user support. The Enterprise Systems Administrator acts as the internal product owner for assigned systems, applying strong business analysis skills to understand business goals and requirements and to translate them into sustainable, compliant, and effective system configuration and use.

ABOUT THE DEPARTMENT

The Information Technology team is responsible for ensuring the Foundation's technology, infrastructure, applications, and services meet the current and future needs of the organization. This team of seasoned information technology professionals collaborates with individual customers, a variety of vendor partners, and each other to support, maintain, and improve technology that drives fundraising, grant making, and financial stewardship of the organization. Each member of this team brings a set of specialties, yet also functions as an IT generalist to meet the diverse needs of the environment. This IT team of four along with assistance from a managed services provider and several other vendor partners serve a staff of 80 in one Saint Paul office location.

KEY RESPONSIBILITIES ::
System Administration & Configuration
  • Serve as the subject matter expert for assigned ERP/CRM systems (e.g., iPhi, Salesforce, and others as identified).
  • Manage user setup, profiles, permissions, roles, and security settings.
  • Configure and customize objects, fields, record types, page layouts, and validation rules using each system’s native configuration tools.
  • Build and maintain workflows, approval processes, and automation.
  • Oversee data integrity through duplicate management, audits, and quality initiatives.
  • Administer and monitor integrations between assigned systems and other third-party business applications.
User Support & Training
  • Serve as the primary point of contact for end-user support and troubleshooting across assigned systems.
  • Develop and deliver training for new and existing users.
  • Maintain documentation including user guides, process flows, and system configurations.
  • Monitor adoption metrics and drive improved system utilization.
Reporting & Analytics
  • Serve as the subject matter expert on the data and reporting features within each assigned system.
  • Partner with other data and reporting experts and business owners across the Foundation to support data and reporting requests.
  • This role is not expected to be a data analytics or data analysis expert, though familiarity with those concepts is beneficial.
Business Analysis & System Optimization
  • Gather, document, and translate business goals and requirements into scalable, sustainable system configurations across assigned systems.
  • Evaluate current-state processes and recommend future-state solutions that balance business needs with system best practices, compliance, and long-term maintainability.
  • Manage system releases and upgrades, including feature testing, impact analysis, and user communications.
  • Evaluate and coordinate third-party applications, marketplace add-ons, and vendor integrations.
  • Lead or support ERP/CRM-related projects from scoping through delivery.
Governance & Compliance
  • Maintain system security and ensure adherence to data privacy regulations.
  • Manage sandbox/test environments for configuration testing.
  • Enforce change management and deployment processes.
  • Maintain a system health roadmap, including technical debt tracking and license optimization across all assigned systems.
  • Manage vendor relationships and contracts for the vendors that deliver assigned ERP/CRM systems, including contract renewals, service-level agreements, invoicing/licensing terms, and vendor performance.
Stakeholder Collaboration
  • Partner with all areas of the organization to align system capabilities with business goals.
  • Act as a strategic advisor on ERP/CRM best practices and the systems roadmap.
  • Liaise with IT and leadership on cross‑functional initiatives.
Requirements
Education & Experience
  • Bachelor's degree in Business, Information Technology, or a related field — or equivalent work experience.
  • Minimum 2+ years of hands‑on administration experience with ERP/CRM or similar business systems in a professional environment.
  • Experience with nonprofit or philanthropic sector CRM and grants management platforms (e.g., Salesforce Nonprofit Cloud, iPhi) is preferred.
  • Familiarity with nonprofit‑specific data models — such as Households, Affiliations, Relationships, Donations/Opportunities, Grants, and Recurring Gifts — is a plus.
Certifications
  • Relevant systems administration or business analysis certification(s) preferred (e.g., Salesforce Administrator (ADM-201), Salesforce Advanced Administrator (ADM-211), Salesforce Business Analyst, or an equivalent certification for other assigned systems).
Preferred Skills
  • Experience with nonprofit‑sector CRM or grants management systems (e.g., Salesforce Nonprofit Cloud/NPSP, iPhi), including configuration of donation management, grant tracking, and constituent relationship management.
  • Familiarity with program management use cases across assigned systems (case management, outcome tracking).
  • Understanding of grant management workflows within ERP/CRM or grants management systems.
Technical Skills
  • Proficiency configuring assigned systems, including objects/records, fields, workflows or automation, validation rules, permission sets, and security models.
  • Experience with data management tools and practices, including data quality, deduplication, and migration.
  • Familiarity with system integration concepts and common third‑party connectors (e.g., MuleSoft, Zapier, APIs).
  • Solid understanding of reporting, dashboards, analytics, and relational database concepts across business systems
Soft Skills & Competencies
  • Strong business analysis skills — including requirements development, process mapping, and translating business goals into sustainable, compliant, and effective system solutions — combined with strong analytical and problem‑solving abilities.
  • Excellent communication skills with a proven ability to translate between business needs and technical/system concepts for both non‑technical and technical audiences.
  • Highly organized with the ability to manage multiple priorities and deadlines simultaneously.
  • Self‑directed and proactive — able to identify issues and opportunities without being prompted.
  • Collaborative team player who can work cross‑functionally with all areas of the organization.
Work Environment

While our team enjoys significant flexibility, this role is expected to be in‑office 3 days per week. Schedule accommodations can be made with manager approval.

Typical physical demands include:
  • Ability to remain in a stationary position 50% of the time, either at home or onsite.
  • Occasionally moving about inside the office to access filing cabinets, etc.
  • Ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Ability to observe details at close range (within a few feet of the observer).
COMPENSATION & BENEFITS

The compensation for this position is $110,000.00 and includes participation in the organization's benefits plan.

Classification: Non-exempt; Full-time.

Location: All employees are expected to live within a commutable driving distance to the Foundation.
