Job summary

Cortica is seeking an Enrollment Specialist to guide families through the enrollment cycle with a positive, patient-centered approach. You’ll support documentation, coordinate with providers, and schedule evaluations across multiple disciplines, ensuring smooth onboarding and timely processing.

The role emphasizes strong communication, administrative proficiency, and a collaborative mindset in a growing healthcare environment focused on neurodevelopmental care for children.

Qualifications

• Bachelor's degree preferred.
• Strong verbal and written communication skills.
• Customer service experience, preferably over the phone.
• Familiarity with word processing and basic office procedures.

Responsibilities

• Serve as the primary interface for incoming patient inquiries and guide families through enrollment.
• Support patients and families to complete documentation timely.
• Engage providers to assist collection of referrals for the patient.
• Schedule initial medical evaluations and care plan meetings across disciplines.
• Ensure accurate processing of enrollment documentation.
• Maintain and update systems of record (Salesforce, Athena).
• Help enroll team members by answering requests for assistance.
• Demonstrate warm, patient-centered interactions via phone and email.
• Collaborate with scheduling to support overall service delivery.
• Handle inquiries promptly and meet established service levels.
• Be flexible with work hours to meet department needs.
• Oversee clerical procedures requiring independent judgment.

Cortica is looking for an Enrollment Specialist to join our growing multi-disciplinary team!

Under the general direction of the Cortica Head of Client Experience, the Enrollment Specialist is responsible for providing information and support for families navigating the application, decision and enrollment process, providing prospective patients with a positive, patient-centered experience through all stages of the enrollment cycle.

What will you do?

• Serve as the primary interface for incoming patient inquiries and guiding families through our enrollment process, focusing on providing a positive, patient-centered experience.
• Support patients and their families to ensure documentation is completed on a timely basis.
• Engage providers to assist documentation (i.e., referral) collection on behalf of the patient.
• Schedule initial medical evaluations, care plan meetings, and evaluations, working across multiple disciplines to provide rapid inquiry to enrollment cycle time.
• Ensure timely and accurate processing of enrollment documentation.
• Maintain and accurately update systems of record (i.e., Salesforce, Athena).
• Participate in the development of knowledge and support enrollment team members by responding to requests for assistance.
• Demonstrate excellent patient relations skills on all interactions (i.e., phone, email) and engage all patients in a genuine, warm and caring manner.
• Work collaboratively with scheduling team members and Cortica staff to support and understand overall scheduling for services.
• Be highly accountable and responsive to incoming phone inquiries and web form submissions; ensure follow-ups are done in a timely manner, meeting established Service Level Agreements.
• Must be flexible with work hours to meet department needs.
• Oversee and perform a wide variety of clerical procedures that require independent judgment, ingenuity and initiative in the utilization of computers and other equipment.

We’d love to hear from you if:

• you have a bachelor’s degree (preferred).
• you possess knowledge of Microsoft Word, Excel, and Internet Applications, and knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
• you have strong verbal and written communication.
• you have customer service experience (preferably over the phone).

The base pay range for this opening is $20.25 to $25.31 per hour. According to your skill level, relevant experience, education level, and location, you will receive compensation that fits appropriately within the range.
