Enrollment & Recruitment Coordinator

Union Day School is seeking a highly motivated, relationship-driven, creative, and results-oriented Enrollment & Recruitment Coordinator to lead the school's student recruitment and enrollment growth efforts. This position is responsible for developing and executing strategies that increase awareness of Union Day School, generate prospective-family inquiries, convert inquiries into applications and enrolled students, and strengthen the school's presence throughout the community. The Enrollment & Recruitment Manager owns the prospective-family experience from initial inquiry through the enrollment decision and serves as a primary ambassador for the school.

This is a highly visible, hands-on position requiring an individual who can combine strategic enrollment planning, relationship building, marketing, community outreach, event management, and data analysis. The successful candidate will be a self-starter who can independently develop and execute recruitment campaigns, create compelling digital content, build community relationships, and use enrollment data to identify opportunities for growth.

Core Performance Expectation: Enrollment Growth

The Enrollment & Recruitment Coordinator will be held accountable for making measurable progress toward the school's annual enrollment goals.

Success in this position will be evaluated based on the individual's ability to:

  • Develop and execute an annual student recruitment and enrollment growth plan.
  • Generate a consistent pipeline of qualified prospective families.
  • Increase inquiries, applications, and enrollment through targeted recruitment strategies.
  • Improve conversion rates from inquiry to application and from acceptance to enrollment.
  • Identify enrollment trends, challenges, and opportunities and recommend strategies to address them.
  • Develop targeted recruitment efforts for grades and student populations where enrollment growth is needed.
  • Monitor recruitment activity and enrollment data and provide regular reports to school leadership.
  • Evaluate the effectiveness and return on investment of recruitment, marketing, and outreach activities.
  • Adjust recruitment strategies based on data, community response, and changing enrollment needs.
Key Responsibilities
Student Recruitment & Prospective Family Coordinator

The Enrollment & Recruitment Coordinator is responsible for the prospective-family recruitment pipeline and is responsible for creating a welcoming, responsive, and compelling experience from the first point of contact through the family's enrollment decision.

Responsibilities include:

  • Serve as the primary point of contact for prospective families.
  • Respond promptly and professionally to prospective-family inquiries by phone, email, and in person.
  • Conduct engaging campus tours and prospective-family meetings.
  • Clearly communicate Union Day's mission, academic programs, International Baccalaureate offerings, extracurricular opportunities, school culture, and unique value.
  • Follow up consistently with prospective families after inquiries, tours, information sessions, applications, and admissions decisions.
  • Develop individualized follow-up strategies for prospective families to increase application and enrollment conversion.
  • Maintain an accurate prospective-family pipeline and track family engagement throughout the recruitment process.
  • Coordinate prospective-family campus visits and information sessions.
  • Plan and execute open houses, prospective-family events, admitted-student events, and other recruitment opportunities.
  • Develop strategies to increase yield and convert accepted students into enrolled students.
  • Identify families who may need additional information or engagement and proactively address questions or concerns.
  • Collect feedback from prospective families and use that information to improve the recruitment experience.
Enrollment Process

The Enrollment & Recruitment Coordinator will:

  • Communicate enrollment decisions, deadlines, next steps, and required actions to prospective families.
  • Follow up with accepted families to encourage timely completion of the enrollment process.
  • Identify families who have not completed required enrollment steps and conduct appropriate follow-up.
  • Maintain communication with families until the student is formally enrolled.
  • Collaborate closely with the Registrar to ensure a smooth transition from recruitment to registration.
Strategic Recruitment & Community Outreach
  • Develop and implement an annual recruitment strategy aligned with school enrollment goals.
  • Identify geographic areas, grade levels, and student populations where additional recruitment efforts are needed.
  • Develop relationships with preschools, childcare centers, feeder schools, community organizations, youth organizations, local businesses, and other community partners.
  • Represent Union Day at community events, educational fairs, festivals, and other recruitment opportunities.
  • Develop a proactive community outreach strategy rather than relying solely on families who independently discover the school.
  • Establish and maintain community partnerships that increase awareness of Union Day.
  • Coordinate student and parent ambassador opportunities to leverage the experiences of current families in recruitment efforts.
  • Identify opportunities for current families, alumni, and community partners to serve as advocates for Union Day.
  • Regularly evaluate the effectiveness of community outreach efforts and adjust strategies based on results.
Marketing & Digital Recruitment

The Enrollment & Recruitment Coordinator is expected to be able to independently execute day-to-day recruitment marketing. The successful candidate must be comfortable creating professional, compelling content that communicates the Union Day experience and drives prospective families to inquire, tour, apply, and enroll.

Responsibilities include:

  • Develop and execute targeted marketing campaigns designed to increase inquiries and enrollment.
  • Independently create social media campaigns that support recruitment and enrollment goals.
  • Design professional advertisements and promotional materials using Canva or comparable design platforms.
  • Independently edit short promotional videos and social media content using video-editing tools.
  • Develop engaging photography, video, graphics, and written content for recruitment purposes.
  • Update and maintain the Union Day website to ensure information is accurate, current, visually engaging, and recruitment-focused.
  • Develop digital and community-based outreach campaigns targeted to prospective families.
  • Coordinate paid digital advertising campaigns in collaboration with school leadership and within the approved marketing budget.
  • Develop recruitment messaging that clearly communicates the school's academic strengths, student experience, programs, achievements, and value.
  • Monitor engagement and performance of marketing campaigns and use data to refine future efforts.
  • Ensure all recruitment materials consistently reflect Union Day's brand, mission, vision, and identity.
  • Identify emerging marketing opportunities and recommend new strategies for reaching prospective families.
Events & Recruitment Experiences
  • Plan and execute admissions-related events, including open houses, information sessions, prospective-family receptions, campus tours, and admitted-student events.
  • Coordinate recruitment components of school-wide events and community activities.
  • Develop event timelines, registration processes, communication plans, and logistical needs.
  • Coordinate vendors, materials, facilities, volunteers, students, and staff as needed.
  • Work with student and parent ambassadors to create authentic and engaging recruitment experiences.
  • Track attendance and follow up with event participants to move prospective families further into the enrollment pipeline.
  • Evaluate recruitment events based on attendance, engagement, inquiries, applications, and enrollment results.
Enrollment Data & Reporting
  • Maintain accurate recruitment and prospective-family data.
  • Monitor inquiries, tours, applications, admissions decisions, and enrollment conversions.
  • Track recruitment activity by grade level, geographic area, source, and campaign when appropriate.
  • Develop regular enrollment pipeline reports for school leadership.
  • Analyze recruitment data to identify trends, opportunities, and areas requiring additional attention.
  • Provide data-informed recommendations regarding recruitment strategies and resource allocation.

Qualifications
Required
  • Bachelor's degree in marketing, education, or a related field.
  • Minimum of three years of experience in K-12 admissions, enrollment, recruitment, or a related field.

  • Valid driver's license and reliable transportation for local recruitment activities.

  • Experience in a K-12 public charter, independent, or private school admissions
  • Familiarity with North Carolina charter school admissions and lottery requirements.
