Qualifications

• High school diploma required; Bachelor's degree preferred.
• Minimum of 2 years of experience in construction, accounting, engineering, or architecture-related industries.
• Experience executing and maintaining contract documents preferred, but not required.
• Deltek Vantagepoint knowledge preferred; CRM tracking software; proficient with Microsoft Office Suite, especially Excel.

Responsibilities

• Manage end-to-end project setup, budget tracking, and financial reconciliation in firm software systems.
• Coordinate pre-project planning by drafting project scopes, task orders, baseline schedules, and fee projections.
• Lead competitive bidding processes, including bid advertisements, contract specification preparation, bid tabulations, and contract award recommendations.
• Serve as the central communication point during construction administration between managers, contractors, subconsultants, and regulatory agencies.
• Maintain and track pay applications, change notices, change orders, and subconsultant invoices.
• Execute complete project closeout activities, including punch lists, as-built documentation, regulatory approvals, and financial reconciliations.
• Support QA/QC processes through structured schedule oversight and accurate project record management.
• Assist business development initiatives by tracking client pipelines in CRM systems and supporting grant funding application compliance.
• Provide high-level administrative and schedule coordination support to engineering leadership.
• Facilitate proactive cross-team communication, anticipating project needs and resolving scheduling conflicts.
