Job summary

The Ecology Center in San Juan Capistrano, CA is seeking an Engagement/Events coordinator to support the team in cultivating conscious communities through meaningful gatherings. The role focuses on event planning, guest communications, and volunteer engagement to advance regenerative farming education.

You will work on maintaining calendars, creating follow-ups, and contributing to organizational impact alongside a collaborative team in a farm-based setting.

Qualifications

  • 2 years of non-profit employment with event operations experience.
  • Tech-savvy with Google Suite, Adobe Suite, Canva, and Klaviyo.
  • Strong organizational and written/verbal communication skills.
  • Detail-oriented with excellent relationship management.
  • Ability to work independently and as part of a collaborative team; must be able to work from The Ecology Center in San Juan Capistrano.

Responsibilities

  • Participate in event curation and maintain the annual events calendar.
  • Respond to inquiries via email, phone, and Instagram; track departmental metrics.
  • Participate in volunteer orientations and improve engagement and retention.
  • Assist with organization-wide tasks and All Hands On Deck initiatives.

The Ecology Center is a nonprofit community farm and cultural center located on a 28-acre Regenerative Organic Certified farm in San Juan Capistrano, California. Through regenerative agriculture, ecological education, nourishing food, and community engagement, we cultivate practical solutions for a healthier, more abundant future.

POSITION SUMMARY

This position will be responsible for supporting the Engagement Team and the organization's collective efforts to cultivate conscious communities through meaningful gatherings.

ESSENTIAL DUTIES & RESPONSIBILITIES
Event Planning & Execution
  • Participate in event curation
  • Maintain the annual events calendar and staff TEC Google Calendar
  • Create FAQ & Follow-up emails for guests
  • Lead event execution (volunteer workdays, Good Medicine events, farm festivals, etc.)
Engagement Operations
  • Respond to inquiries via email, phone, and Instagram
  • Organize event data and customer information
  • Track departmental metrics
  • Support leadership with relevant research projects
  • Implement strategies to increase efficiency
Volunteer Relations
  • Participate in monthly new volunteer orientations
  • Implement strategies to increase volunteer engagement, participation, and retention
  • Maintain an organized database of volunteers’ interests
Additional Tasks
  • Gain proficient knowledge of the organization’s history and programs.
  • Participate in "All Hands On Deck" activities, where all The Ecology Center staff cooperate on a large project, event, educational program, or volunteer days.
  • Be prepared to lend a hand throughout the organization as needed.
SUPERVISION, COLLABORATION & CONFLICT RESOLUTION

This position reports to the Engagement Manager. The role provides the operational support, coordination, leadership, or supervision specifically assigned to the position. Formal hiring, discipline, performance evaluation, and other employment decisions apply only when expressly authorized.

Key collaborators include the Engagement team; Development; Culinary; Education; Farm Operations; Marketing & Creative; and community partners, when applicable.

Employees are expected to communicate respectfully, address concerns constructively, practice active listening, and contribute to a workplace grounded in trust and shared stewardship. Unresolved concerns should be elevated through the appropriate management or Human Resources channels.

Qualifications
Required
  • 2 years of non-profit employment, with experience in event operations.
  • Tech-savvy and familiar with Google Suite, Adobe Suite, Canva, and Klaviyo.
  • Incredibly strong organizational and written/verbal communication skills.
  • Detail-oriented.
  • Skilled in relationship management.
  • Ability to work independently and as part of a collaborative team.
  • Ability to work from The Ecology Center in San Juan Capistrano.
  • Positive attitude, resourcefulness, and willingness to learn and grow.
Preferred
  • Existing knowledge of and passion for environmental issues and awareness.
  • Excellent knowledge of professional software, including Word, Excel, Google Docs/Spreadsheets.
  • Must have reliable transportation and be able to travel distances of up to 75 miles for meetings and events.
  • Experience in regenerative farming, mission-driven, or community-centered workplace.
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS

This position works in a farm-based environment that may include office, event, program, and community-facing spaces.

  • Stand, walk, sit, or move through assigned work areas as required by the position.
  • Bend, reach, handle tools or materials, and perform assigned tasks safely.
  • Safely lift, carry, or handle supplies consistent with the essential duties of the position.
  • Work in office, guest-facing, event, or farm-based environments as appropriate to the position.
  • Use the tools, equipment, and communication systems associated with the position.
