Cooley Dickinson Hospital, Inc. is seeking a Scheduling Coordinator to manage procedure scheduling and perform a variety of secretarial and statistical duties. You will log daily activities and maintain clear communication with ordering offices to ensure EMR accuracy.

This 1199SEIU Bargaining Unit position reports to the Director of Perioperative Services and operates within established policies and procedures. Onsite work location is 30 Locust Street, with a 40-hour work week.

Qualifications

  • High School Diploma or Equivalent required.
  • 1–3 years of medical/hospital secretarial experience required.
  • Previous scheduling and computer experience required.
  • Strong ability to interact with individuals at varying intellectual levels.

Responsibilities

  • Create new medical records for patients as needed.
  • Gather data for paper and electronic chart creation.
  • Meet the needs of the department and physicians.
  • Apply scheduling and block guidelines; schedule meetings accordingly.
  • Report problems to the Manager or Shift Charge Nurse promptly.
  • Check in patients at front desk per EMR workflow.
  • Collaborate with management to improve systems.
  • Answer phones and route messages.
  • Prepare routine statistical reports.
  • Perform secretarial duties including intra-operating report logging and distribution of OR/Endoscopy schedules.

Job Summary

Summary
The Scheduling Coordinator is responsible for scheduling procedures and performing a variety of secretarial and statistical duties, logging daily activities, and answering phones as available. The Scheduling Coordinator is responsible to maintain constant communication with ordering offices to ensure no discrepancies exist in the electronic medical record system(s).

This position is part of the 1199SEIU Bargaining Unit at Cooley Dickinson Hospital.

This position reports to the Director, Perioperative Services and operates within established organizational and departmental policies and procedures.

Must be able to effectively interact appropriately to an individual's intellectual level and physical ability.: Does this position require Patient Care? No

Essential Functions

Work within policy to create new medical records for patients as needed.

  • -Gather data for creation of both paper and electronic chart.
  • -Assist in meeting the needs of the department and the physicians.
  • -Appropriately apply scheduling and block guidelines; allow for meeting times.
  • -Report problems/potential problems to the Manager or Shift Charge Nurse in a timely manner.
  • -Check in patients at front desk in accordance with the electronic medical record workflow.
  • -Collaborate with management team to solve problems and improve systems.
  • -Answer phones. Prioritize messages and deliver them appropriately.
  • -Prepare routine statistical reports.
  • -Perform all secretarial duties in an accurate/efficient manner including without limitation intra-operating report logging and distribution of OR or Endoscopy schedule and mail daily.
  • -Maintain established hospital and departmental policies and procedures, objectives, confidentiality, quality improvement program, compliance, safety, infection control and environmental standards.
  • -Maintain professional growth and development through attendance at seminars, workshops, conferences or in-services, professional affiliations or journals to stay abreast of current trends in field of expertise.
  • -Meet annual competency and retraining requirements.
  • -Attend meetings as required.
