Position Summary:

The Employee Benefits Support Specialist plays a crucial role in providing exceptional administrative and technical support to the Employee Benefits team and our clients. This position requires strong organizational skills, attention to detail, excellent communication abilities, and a proactive approach to problem-solving. The Support Specialist will assist in the day-to-day management of client benefit plans, ensuring smooth operations and a high level of client satisfaction.

Responsibilities:

  • Client Support:
    • Serve as a primary point of contact for employee benefit inquiries, addressing questions and resolving issues efficiently and professionally via phone, email, and in person when necessary.
    • Assist employees with enrollment processes, benefit changes, and claims inquiries, providing clear and accurate information.
    • Prepare and distribute employee communication materials, such as enrollment guides, benefit summaries, and compliance notices.
    • Maintain accurate and up-to-date client and employee records in various systems.
    • Assist with the coordination of employee meetings and open enrollment presentations.
  • Administrative Support:
    • Process enrollments, changes, and terminations accurately and in a timely manner.
    • Assist in the preparation of benefit plan documents, including applications, summary plan descriptions (SPDs), and plan amendments.
    • Generate reports and conduct data analysis as needed.
    • Manage and organize client files and documentation.
    • Assist with billing reconciliation and issue resolution.
    • Coordinate with insurance carriers and vendors to resolve administrative issues.
    • Provide general administrative support to the Employee Benefits team, including scheduling meetings, preparing correspondence, and managing supplies.
  • Compliance and Regulatory Support:
    • Assist in ensuring compliance with federal and state regulations, including ERISA, HIPAA, and ACA.
    • Stay informed about changes in employee benefits laws and regulations.
    • Assist with the preparation and distribution of required compliance documents.
  • Team Collaboration:
    • Work collaboratively with Account Managers, Producers, and other team members to provide seamless client service.
    • Participate in team meetings and contribute to process improvement initiatives.
    • Assist with special projects as assigned.

Qualifications:

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Familiarity with employee benefits concepts, terminology, and processes is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Experience with agency management systems and benefits administration platforms is an advantage.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Exceptional customer service and interpersonal skills.
  • Ability to prioritize tasks, manage time effectively, and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive and problem-solving attitude.
  • Ability to work independently and as part of a team.
