Position Summary:
The Employee Benefits Support Specialist plays a crucial role in providing exceptional administrative and technical support to the Employee Benefits team and our clients. This position requires strong organizational skills, attention to detail, excellent communication abilities, and a proactive approach to problem-solving. The Support Specialist will assist in the day-to-day management of client benefit plans, ensuring smooth operations and a high level of client satisfaction.
Responsibilities:
- Client Support:
- Serve as a primary point of contact for employee benefit inquiries, addressing questions and resolving issues efficiently and professionally via phone, email, and in person when necessary.
- Assist employees with enrollment processes, benefit changes, and claims inquiries, providing clear and accurate information.
- Prepare and distribute employee communication materials, such as enrollment guides, benefit summaries, and compliance notices.
- Maintain accurate and up-to-date client and employee records in various systems.
- Assist with the coordination of employee meetings and open enrollment presentations.
- Administrative Support:
- Process enrollments, changes, and terminations accurately and in a timely manner.
- Assist in the preparation of benefit plan documents, including applications, summary plan descriptions (SPDs), and plan amendments.
- Generate reports and conduct data analysis as needed.
- Manage and organize client files and documentation.
- Assist with billing reconciliation and issue resolution.
- Coordinate with insurance carriers and vendors to resolve administrative issues.
- Provide general administrative support to the Employee Benefits team, including scheduling meetings, preparing correspondence, and managing supplies.
- Compliance and Regulatory Support:
- Assist in ensuring compliance with federal and state regulations, including ERISA, HIPAA, and ACA.
- Stay informed about changes in employee benefits laws and regulations.
- Assist with the preparation and distribution of required compliance documents.
- Team Collaboration:
- Work collaboratively with Account Managers, Producers, and other team members to provide seamless client service.
- Participate in team meetings and contribute to process improvement initiatives.
- Assist with special projects as assigned.
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Familiarity with employee benefits concepts, terminology, and processes is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
- Experience with agency management systems and benefits administration platforms is an advantage.
- Excellent organizational skills and attention to detail.
