Our newBenefits Administrator will play a key role in managing and overseeing the full suite of employee benefits for temporary and full-time regular staff. This role ensures regulatory compliance, efficient administration, and exceptional support across the country.
Key areas of focus include 401(k) plan administration (including annual 5500 testing), health and welfare benefits, leave of absence (LOA) and FMLA compliance, and mandatory reporting such as EEO-1 filings.
Key Responsibilities:
Benefits Administration
- Administer group benefits programs including health, dental, vision, life insurance, short/long-term disability, HSA/FSA, and voluntary plans.
- Serve as the main point of contact for benefits vendors, brokers, and third-party administrators.
- Coordinate annual open enrollment processes and employee education sessions.
- Reconcile monthly benefits invoices and ensure timely and accurate payments.
- Manage day-to-day administration of the 401(k) retirement plan, including enrollments, distributions, loans, and deferral changes.
- Collaborate with external vendors on annual compliance testing and Form 5500 preparation.
- Ensure adherence to ERISA and IRS regulations, maintaining up-to-date plan documents and summary plan descriptions.
FMLA & Leave of Absence (LOA)
- Administer and track FMLA, ADA, personal leaves, and other company or state-mandated leave programs.
- Communicate with employees and managers regarding eligibility, documentation, and return-to-work procedures.
- Maintain accurate records and ensure timely updates in HRIS and payroll systems.
Compliance & Reporting
- Prepare and file the annual EEO-1 Report and other regulatory filings as required.
- Support all pre-employment compliance processes and teams as required
- Maintain documentation and provide audit support for internal and external compliance reviews.
- Monitor federal and state regulations affecting benefits, LOA, and 401(k) plans and implement necessary changes.
Qualifications
- 3+ years of experience in employee benefits administration, preferably in a multi-state or staffing company environment.
- Strong knowledge of ERISA, ACA, HIPAA, FMLA, COBRA, and other applicable federal/state laws.
- Experience with 401(k) plans and annual 5500 compliance processes.
- Proficiency with HRIS systems and benefits platforms; Bamboo and ADP experience a plus.
- Bachelor’s degree in human resources, Business Administration, or related field preferred.
- Excellent organizational skills, attention to detail, and ability to manage sensitive information with discretion.
- Certified Employee Benefits Specialist (CEBS), SHRM-CP, or PHR certification preferred.
