Email Marketing Specialist
We are seeking an experienced Email Marketing Specialist contractor to manage email marketing requests from intake through deployment. This hands-on role combines email production, audience development, quality assurance, and project coordination within a regulated professional-services environment.
The successful candidate will independently manage multiple campaigns, partner with cross-functional stakeholders, build and test emails and audiences, facilitate approvals, and schedule final deployments. This role is ideal for a detail-oriented marketing professional who is comfortable working in Salesforce CRM and Salesforce Marketing Cloud Account Engagement (Pardot).
Objectives of the Role
- Own assigned email marketing requests from intake through deployment.
- Manage concurrent priorities while maintaining accuracy, quality, and deadlines.
- Serve as the primary point of contact for campaign stakeholders.
- Maintain high standards for email quality, audience accuracy, compliance, and recipient experience.
- Identify missing requirements, delivery risks, and nonstandard requests, escalating when appropriate.
Key Responsibilities
Request & Stakeholder Management
- Assume ownership of email requests following project handoff.
- Track request status, timelines, documentation and next steps in a project management platform.
- Review requests for complete audience, content, sender, timing, call-to-action, asset and approval details.
- Work directly with stakeholders to clarify requirements, set expectations, and resolve open items.
- Communicate progress, risks, delays and required actions throughout the request lifecycle.
- Coordinate with marketing, compliance, legal, operations, technology and other internal partners as needed.
Email Development & Audience Management
- Build email creative using an approved drag-and-drop email development platform and prepare emails for deployment through Pardot.
- Configure email campaigns in Salesforce Marketing Cloud Account Engagement.
- Set up subject lines, preview text, sender details, links, calls to action, images, personalization and dynamic content.
- Apply working knowledge of HTML and CSS to make routine updates and resolve common rendering issues.
- Build and validate campaign audiences using Salesforce CRM and Pardot.
- Create static and dynamic lists using approved inclusion, exclusion, segmentation and suppression criteria.
- Review audience counts, subscription preferences, unsubscribes, bounces and eligibility conditions before deployment.
Quality Assurance & Approvals
- Perform detailed QA on email copy, formatting, links, images, personalization, dynamic content, disclosures and campaign settings.
- Test emails across common desktop and mobile email environments.
- Validate links, landing pages, sender information, audience criteria and suppression logic.
- Send test emails, coordinate stakeholder review, document revisions and confirm required approvals.
- Complete final pre-deployment checks before scheduling a campaign.
Compliance & Risk Awareness
- Apply established email marketing standards and maintain a working knowledge of CAN-SPAM requirements.
- Recognize requests that may require additional legal, regulatory, privacy or compliance review.
- Escalate nonstandard or higher-risk requests to the appropriate internal teams before proceeding.
- Follow established processes for subscriptions, unsubscribe requests, suppression rules and required disclosures.
Scheduling, Deployment & Reporting
- Schedule and deploy approved campaigns according to established procedures and timelines.
- Verify final audience selections, exclusions, sender details and approvals and send settings before launch.
- Monitor completed campaigns and investigate routine delivery or recipient issues.
- Maintain campaign documentation and close completed requests in the project management system.
- Review key metrics, including delivery, bounce, open, click-through and unsubscribe rates.
- Communicate meaningful performance or deliverability concerns to relevant stakeholders.
Required Qualifications
- Three or more years of hands-on experience in email marketing, marketing automation, digital marketing or a related field.
- Demonstrated experience managing email campaigns from intake and requirements gathering through deployment.
- Hands-on experience with Salesforce CRM and Salesforce Marketing Cloud Account Engagement (Pardot).
- Experience using email creation tools such as Beefree or comparable drag-and-drop email-building platforms.
- Experience building emails, creating segmented audiences, managing lists, testing and deploying campaigns.
- Experience managing stakeholder communications, timelines, reviews and approvals.
- Experience with Monday.com or a similar project or work-management platform.
- Strong quality assurance skills and exceptional attention to detail.
- Working knowledge of HTML and CSS for email production and troubleshooting.
- Strong understanding of segmentation, personalization, list hygiene, suppression, deliverability, subscription preferences and unsubscribe management.
- Working knowledge of CAN-SPAM requirements and the ability to identify when additional compliance or legal review is needed.
- Excellent written, verbal, organizational and time-management skills.
- Ability to work independently, manage multiple concurrent requests and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Experience supporting financial services, healthcare, insurance or another regulated industry.
- Experience with Monday.com.
- Experience with Salesforce Engagement Studio or automated nurture programs.
- Familiarity with A/B testing, campaign optimization and performance analysis.
- Experience troubleshooting email rendering and deliverability issues.
- Bachelor’s degree in Marketing, Communications, Business or a related discipline, or equivalent professional experience.
