ELP STATION COORDINATOR 737-700

Full Time Clerical El Paso, TX, US

The Station Coordinator is EAX's single point of coordination at ELP for the DHS 737-700 program. The role ensures the daily flight schedule is executed safely, on time, and in compliance with the contract by coordinating with the assigned flight crews, maintenance, ground handling, and the government customer on the ramp. The position is responsible for station readiness, performance, and records. The incumbent is the first-line response when anything on the ground threatens the schedule.

Key responsibilities

Daily station operations

  • Verify the daily station plan against the published DHS/ICE schedule: aircraft assignment, crew report times, gate/hardstand, fuel, catering, and lav/water service.
  • Lead pre-departure coordination with the Captain, the government flight/mission lead, and ground handling; confirm the aircraft is released and the ramp is ready before boarding begins.
  • Track every departure and arrival against the flight schedule; record delays with EAX delay codes and root cause, and notify OCC/dispatch immediately of any threat to on-time performance.
  • Manage irregular operations at ELP in coordination with EAX SOC: diversions, weather holds, AOG, crew legality issues, and schedule changes pushed by the customer.

Maintenance coordination

  • Serve as the station liaison between line maintenance, Maintenance Control, and SOC for the 737-700 tails assigned to the program.

Vendor and ground handling oversight

  • Oversee contract ground handlers, fuelers, caterers, and cleaners against EAX standards and each service agreement; audit performance and document discrepancies.
  • Verify fuel quality records, deicing/anti-icing capability (as applicable), and weight-and-balance inputs meet EAX procedures.
  • Confirm vendor personnel hold current EAX-required training (ground handling, hazmat recognition, fueling, security) before working EAX aircraft.

Security, safety, and compliance

  • Enforce the EAX aircraft operator security program at ELP, including aircraft access control, searches, and SIDA/AOA compliance with airport and TSA requirements.
  • Protect contract-sensitive information (manifests, schedules, PII) per DHS/ICE contract handling requirements; share only with authorized personnel.
  • Report hazards, incidents, and ground damage through the EAX SMS; participate in investigations and track corrective actions to closure.
  • Maintain station records for FAA, DOT, TSA, customer, and internal audits; keep the station manual current.

Customer and contract support

  • Act as EAX's on-site representative to DHS/ICE representatives and the airport authority; attend operational coordination meetings.
  • Provide the Director of Operations the data needed for contract performance reporting: OTP, completion factor, cancellations, and delay causes.
  • Flag contract scope changes, extra-service requests, and cost-bearing events for billing and contract review.

Administration

  • Prepare daily and weekly station reports; maintain the station contact roster, vendor list, and emergency response plan.
  • Manage station supplies, purchase requests, and vendor invoice verification within approved limits.

Qualifications

Required

  • High school diploma or GED.
  • 3+ years in airline station operations, ground operations, dispatch/OCC, or line maintenance coordination; Part 121 experience strongly weighted.
  • U.S. citizenship and the ability to obtain and maintain a DHS/ICE suitability or background determination as required by the contract.
  • Ability to pass a TSA Security Threat Assessment and fingerprint-based CHRC, and to obtain and hold an ELP SIDA badge.
  • Pre-employment and random DOT drug and alcohol testing under 49 CFR Part 40 / 14 CFR Part 120 (safety-sensitive function).
  • Valid driver's license; ability to obtain airport ramp driving privileges.
  • Working knowledge of Microsoft Office and flight-following or scheduling software.

Preferred

  • Associate's or bachelor's degree in aviation management or a related field.
  • Supervisory or station lead experience at a charter, ACMI, or government-contract carrier.
  • Experience supporting DoD, CRAF, or DHS flight operations.
  • Boeing 737 NG familiarity (servicing, GSE, MEL/CDL concepts).
  • FAA Aircraft Dispatcher certificate or A&P certificate.
  • Hazmat, weight-and-balance/load planning, or fueling supervisor certifications.
  • Conversational Spanish.

Knowledge, skills, and abilities

  • Part 121 operational control concepts and the line between station coordination and dispatch/maintenance authority.
  • TSA aircraft operator security requirements and airport SIDA/AOA procedures.
  • Ramp safety, aircraft servicing, and GSE operation around narrowbody jets.
  • SMS fundamentals: hazard reporting, just culture, corrective action tracking.
  • Calm, decisive communication with crews, mechanics, vendors, and government representatives under schedule pressure.
  • Accurate, timely record keeping and reporting; comfort working from data (OTP, delay codes, completion factor).
  • Discretion with sensitive and personally identifiable information.
  • Ability to work independently at an outstation with limited on-site management.

Working conditions

  • Work is split between the station office and the ramp, in El Paso heat (routinely above 100°F in summer), wind, dust, and jet blast/noise; hearing protection required.
  • The work schedule is based on the requirements of the flight schedule, which includes early mornings, nights, weekends, and holidays; on-call for irregular operations and AOG events.
  • Occasional travel to other EAX stations or HQ in Greensboro, NC for training and surge support.
  • Must stand and walk on the ramp for extended periods, climb aircraft stairs, and lift up to 50 lb.
  • Safety-sensitive position subject to DOT drug and alcohol testing.
