Job summary

Travis County Elections Division seeks an Administrative Support professional to coordinate and support activities during an election cycle, under supervision of Division leadership. The role emphasizes compliance with laws, rules, and regulations while serving voters and staff.

Responsibilities include coordinating seasonal workers, assisting Ballot by Mail processes, training Election Workers, and managing site logistics for polling places and voting equipment.

Qualifications

  • Bachelor’s degree in a related field and at least one year of elections program or project management experience.
  • Equivalent combination of education and experience may be acceptable.
  • Knowledge of state and federal election laws and regulations.

Responsibilities

  • Coordinate and supervise seasonal workers for elections and support multiple programs within Elections Division (Ballot by Mail, Call Center, Training, Site Coordination, Personnel, Voting Equipment & Operations).
  • Assist with Ballot by Mail applications, voter support, and duties of Early Voting Ballot Board and Signature Verification Committee.
  • Provide support in Elections Call Center as needed.
  • Develop training materials for Election Workers for both Early Voting and Election Day.
  • Facilitate election worker training in-person and online with curriculum standards and legal requirements.
  • Coordinate with temporary workers on configuring voting equipment/electronic poll books.
  • Assist in recruiting, assigning, and onboarding election workers using an election management system.
  • Identify and coordinate polling place sites for Early Voting and Election Day, ensuring ADA compliance.
  • Coordinate site contracts and delivery logistics under supervision.
  • Communicate with voters, county employees, and the public by phone, email, and in-person; provide consistent information on laws.
  • Move and package equipment, assist in warehouse, and manage inventory allocation and troubleshooting.

Job description

Under the direction of the Division Director, an assistant director, or manager within the Elections Division, this position is responsible for coordinating and supporting a variety of activities during an election cycle, along with other support staff, to ensure compliance with applicable laws, rules, and regulations.

Distinguishing Characteristics

This is in an Administrative Support series of job classifications. Applicants work under supervision performing administrative and support duties. This position requires a flexible work schedule to meet the needs of the department, including evenings, early morning, weekend and holiday hours during peak election periods.

  • Coordinates job duties for seasonal workers associated with elections and provides support to one or more programs in the Elections Division, including: Ballot by Mail, Call Center, Election Worker Training, Elections Site Coordination, Personnel, and Voting Equipment & Operations programs.
  • Assists with receiving and processing applications for Ballot by Mail, provides voter support, and assists as needed and under the direction of a manager the duties of the Early Voting Ballot Board, and Signature Verification Committee.
  • Provides support in Elections Call Center as needed.
  • Assists in development of training materials for Election Workers for both Early Voting and Election Day.
  • Facilitates election worker training, in small and large group settings, both online and in-person, with strict adherence to curriculum standards and legal requirements.
  • Works with temporary workers in configuring voting equipment and/or electronic poll books to be used by Election workers in the field.
  • Assists other coordinators and managers in recruiting, assigning, and onboarding election workers using an election management system.
  • Responsible for identifying and coordinating polling place sites used during Early Voting and Election Day, including compliance with ADA standards.
  • Assists in coordinating site contracts and delivery logistics under supervision of a manager.
  • Communicates with and responds to general requests for information from voters, county employees, and the public by phone, email, and in-person.
  • May be required to provide in person and telephonic voter support in office as well as basic office administrative duties. Provides exemplary customer service to voters, the public, and stakeholders, including providing consistent information in regard to state and federal laws.
  • Performs other job-related duties as assigned.
  • Responsibilities include moving and packaging equipment, assisting in the warehouse, and handling inventory allocation, maintenance, and troubleshooting.
Education and Experience

Bachelor’s degree in Business Administration, Business Management, Government, Political Science, Public Administration or a directly related field AND one (1) year of increasingly responsible elections program or project management experience;

OR,

any combination of education and experience that has been achieved and is equivalent to the stated education and experience and required knowledge, skills, and abilities sufficient to successfully perform the duties and responsibilities of this job.

Licenses, Registrations, Certifications, or Special Requirements

Valid Texas Driver's License.

As part of the duties for this role, the employee will have access to Criminal Justice Information (CJI) and must meet all CJIS Security Policy requirements, including fingerprint-based background screening and adherence to data handling protocols.

  • Operate a variety of office equipment and a computer including word processing, spreadsheets and databases.
  • Establish and maintain effective working relationships with other County employees and officials and general public.
  • Actively and with a positive demeanor participate in team building, community outreach, and other public facing activities during work hours.

Physical requirements include lifting/carrying minimum of 35 pounds, and may be required to lift/carry up to 100 pounds, visual acuity, speech and hearing, hand and eye coordination and manual dexterity, necessary to operate a computer, monitor, keyboard, printer, fax machine, copier, adding machine, typewriter and basic office equipment, vision to monitor, standing, sitting, walking, climbing stairs, bending, stooping, crouching, kneeling, pushing, pulling, reaching, repetitive motion, twisting, balancing, repetitive motion, client/customer contact, squatting, occasional indoor/outdoor activities to perform the essential functions. Subject to contact with communicable diseases, radiation, hazardous waste, human fecal matter and foul odors. Travis County employees play an important role in business continuity. As such, employees can be assigned to business continuity efforts outside of normal job functions.
