Position Summary:

The EHR Applications Specialist (ESA) serves as Elevated Community Health's primary on-site subject-matter expert for the Epic OCHIN electronic health record system, leading efforts to optimize the technology that supports exceptional patient care and operational excellence. This position bridges clinical operations, technology, quality improvement, and data analytics to optimize workflows, improve user adoption, and support organizational goals.

The ESA applies expertise in clinical informatics and Epic OCHIN to design, implement, maintain, and enhance EHR workflows across medical, dental, behavioral health, pharmacy, and revenue cycle operations. This role partners closely with clinical leaders, providers, operational teams, and OCHIN resources to maximize system functionality, improve efficiency, ensure data integrity, and support regulatory compliance.

This position supports ECH's commitment to Access, Stewardship, and Quality (ASQ) by leveraging technology to improve patient access to care, promoting the efficient and responsible use of organizational resources, and advancing the quality, accuracy, and integrity of clinical information. Through collaboration, innovation, and continuous process improvement, the EHR Applications Specialist helps optimize clinical workflows, strengthen regulatory compliance, and ensure the electronic health record supports exceptional patient care and organizational success.

Essential Functions:

Epic OCHIN Administration & Optimization

  • Serve as the primary on-site Epic OCHIN resource and super-user.
  • Analyze, design, build, test, and implement workflow improvements within Epic OCHIN.
  • Configure templates,Smart Phrases,Smart Sets, preference lists, order sets, and documentation tools.
  • Build and maintain collaborative relationships with OCHIN and other technology vendors to support system enhancements, resolve issues, and optimize system performance.
  • Collaborate with OCHIN support teams on system upgrades, enhancements, and issue resolution.
  • Coordinate testing and validation for Epic upgrades and new functionality.
  • Monitor and address system issues impacting clinical and operational workflows.
  • Maintain system documentation, standard operating procedures, and training materials.

Clinical Informatics & Workflow Improvement

  • Assess current-state workflows and identify opportunities for optimization.
  • Facilitate workflow redesign initiatives to improve efficiency, quality, and patient experience.
  • Partner with clinical leadership to standardize documentation and care processes.
  • Support evidence-based practice and quality improvement initiatives through technology solutions.
  • Lead change management efforts related to EHR enhancements and process improvements.

Training & User Support

  • Provide ongoing support and coaching to providers, nurses, medical assistants, front desk staff, dental teams, and ancillary departments.
  • Develop and deliver Epic OCHIN training programs for new hires and existing staff.
  • Create user guides, quick-reference materials, and educational resources.
  • Serve as a liaison between end users and technical support teams.
  • Conduct rounds with departments to proactively identify workflow concerns and training opportunities.

Reporting, Analytics & Data Integrity

  • Develop and maintain reports, dashboards, and data validation processes.
  • Support UDS, quality metrics, value-based care initiatives, and operational reporting.
  • Analyze trends and recommend workflow improvements based on data findings.
  • Ensure accurate data capture and documentation practices.
  • Assist leadership with KPI development and performance monitoring.

Regulatory Compliance & Quality

  • Support compliance with federal, state, and organizational documentation requirements.
  • Assist with quality reporting initiatives, including UDS, HEDIS, MIPS, and other regulatory programs.
  • Participate in audits and corrective action planning related to EHR documentation and workflows.
  • Promote data governance and best practices for data management.

Project Management

  • Lead and participate in EHR-related projects and organizational initiatives.
  • Coordinate project timelines, stakeholder communication, testing, implementation, and training activities.
  • Track project outcomes and provide regular updates to leadership.
  • Serve as a strategic advisor to organizational leadership by identifying opportunities to optimize Epic OCHIN functionality, improve clinical workflows, and support organizational initiatives through technology solutions.
Additional Requirements
  • Grants are vital to ECH's revenues and directly or indirectly support all positions. This role may have responsibilities that are closely associated with grant deliverables. Grants and grant responsibilities may change over time.
  • Complete all required training as designated by HR and the position supervisor.

Education/ Experience:

Must-Haves to be Successful:

  • Master's degree in health informatics, Clinical Informatics, Biomedical Informatics, Health Information Management, Healthcare Administration, or relatedfields.
  • Minimum 3 years of experience supporting electronic health records in a healthcare environment.
  • Advanced knowledge of Epic OCHIN workflows and functionality.
  • Experience with clinical workflow analysis and process improvement.
  • Strong analytical and problem-solving skills.
  • Excellent communication, presentation, and training abilities.
  • Ability to manage multiple projects and priorities simultaneously.
  • Ability to work on-site and move between departments throughout the day.
  • Ability to sit, stand, walk, and use computer equipment for extended periods.

Nice to Have:

  • Epic or OCHIN certifications.
  • Experience in a Federally Qualified Health Center (FQHC).
  • Experience supporting medical, dental, behavioral health, and pharmacy workflows.
  • Knowledge of UDS reporting, quality measures, and value-based care programs.
  • Experience with reporting tools, SQL, data visualization platforms, or healthcare analytics.

Performance Expectations:

Within the first year, the EHR Applications Specialist will be expected to:

  • Increase provider and staff satisfaction with Epic OCHIN workflows.
  • Reduce EHR-related support tickets by optimizing workflows and providing training.
  • Improve data quality and documentation compliance.
  • Successfully led the implementation of identified Epic OCHIN enhancements.
  • Support the achievement of organizational quality, operational, and financial goals through effective EHR utilization.
