Job summary

The Iowa Tribe of Oklahoma's Higher Education Department seeks an Education & Workforce Technician to support education services, workforce development, and community outreach. Responsibilities

  • Provide clients with education and technical assistance using library resources and online databases.

  • Attend group meetings to share information regarding department programs.
  • Assist individuals with strategies for academic, workforce, and personal outcomes.
  • Prepare official correspondence and data collection using Microsoft 365; create Excel spreadsheets, PowerPoint presentations, and Word/Adobe documents for staff and partners.
  • Collect, track, and maintain participant data and program files per reporting guidelines.
  • Maintain confidentiality regarding participant information and program records.
  • Track and follow up on reporting milestones, inventory, scheduling, and other duties to support grant compliance.

Description

The Education & Workforce Technician assists with education support services, workforce skills, library resources, and supports overall program objectives, community events, and workforce development initiatives within the Higher Education Department. The position provides applicant technical assistance with program applications, retention, and available resources also helping to maintain active partnerships with outside agencies for ongoing outreach activities.


DUTIES/RESPONSIBILITIES


  • Assist department staff in the planning, implementation, and coordination of scheduled events, including college fairs, job fairs, the Summer Youth Work Program, youth groups and award ceremonies, and Job Placement and Training (JPT) outreach activities.

  • Execute retention strategies to maintain and strengthen relationships with external organizations, participating agencies, and community partners.

  • Provide clients and library visitors with education and technical assistance using library collections, academic and workforce online resources, research materials, as well as general resource navigation.

  • Help program applicants with applications and knowledge of program requirements.

  • Attend group meetings and collaborations to share information regarding department programs.

  • Assist individuals with practical strategies for successful academic, workforce, and personal outcomes.

  • Prepare official correspondence and data collection using Microsoft 365, creating Excel spreadsheets, PowerPoint presentations, and paperwork in Word and Adobe formats for the Higher Education Department staff, program participants, educational institutions, and workforce partner agencies.

  • Collect, track, and maintain participant data and program files in accordance with reporting guidelines.

  • Maintain strict confidentiality regarding participant information, applicant files, and program records.

  • Track and follow up on reporting milestones, inventory, scheduling dates, and other duties to support ongoing program retention and grant compliance.

  • Perform other duties as assigned.


Requirements

REQUIRED SKILLS/ABILITIES


  • Knowledge of culturally diverse populations, higher education terminology, workforce program processes, and general administrative procedures.

  • Strong written and verbal communication skills to interact clearly, directly, and respectfully with individuals and groups from diverse backgrounds.

  • Ability to communicate sensitive or complex information with discretion, tact, and diplomacy.

  • Ability to effectively organize, prioritize, and manage multiple program tasks simultaneously while maintaining accuracy and attention to detail.

  • Active listening and problem-solving skills to identify participant needs and adapt support to fit public library and tribal education goals.

  • Ability to motivate individuals and groups while working independently in a fast-paced environment.

  • Proficiency in Microsoft 365 applications (Word, Excel, Outlook, and PowerPoint), including the ability to create, maintain, and organize Excel spreadsheets for tracking and reporting purposes, as well as proficiency with web-based research tools and databases.

  • Ability to maintain a flexible work schedule to accommodate evening or weekend outreach events and community meetings.

  • Ability to drive a 15-passenger van.

  • Ability to meet all applicable rental vehicle requirements for business travel.


EDUCATION & EXPERIENCE


  • Associate Degree required.

  • Minimum of two (2) years of educational, social services work, or workforce development related fields required.

  • Experience handling participant intake, form completion, or file management preferred.

  • Experience with Adobe Creative Cloud or comparable graphic design software preferred.

  • Current CPR certification preferred; employees who are not currently certified must obtain and maintain CPR certification within three (3) months of employment.


PHYSICAL REQUIREMENTS


  • Ability to sit, stand, and walk for extended periods while assisting visitors, organizing library resources, or working program and community events.

  • Physical capability to lift, carry, and set up event supplies, decorations, equipment, and outreach materials weighing up to 30 pounds.

  • Visual acuity and mental focus are necessary to operate office software, track program records, and process documentation.

  • Ability to safely operate a motor vehicle and travel locally to attend outreach events, visit program participants, and meet with partner organizations.

  • Fine motor skills and manual dexterity necessary to operate office machinery, file documents, sort paper records, and assemble event packets.


CONDITIONS OF EMPLOYMENT


  • Successful completion of applicable tribal drug test.

  • Successful completion of applicable tribal background check.

  • Must pass background investigation for suitability of character identified in accordance with the Indian Child Protection and Family Violence Prevention Act.

  • Possess and maintain a valid driver's license with no serious violations.
