Job summary

Qualifications

  • Associate's degree or equivalent work experience required.
  • 1+ years of experience with training programs and managing multiple projects preferred, or 1 year of experience in an administrative support position.
  • Strong communication, attention to detail, and ability to manage multiple tasks concurrently.

Responsibilities

  • Support education presentations and programs by assisting with scheduling events, promoting events, handling registration, and providing technical assistance as needed.
  • Coordinate data collection tools such as sign-in sheets and surveys and updates as needed.
  • Reconcile sign-in sheets and surveys monthly and maintain electronic tracking of participants for CEOD and ET events.
  • Provide administrative support for CEOD and ET departments, including meetings, attendance, and financial reconciliation.
  • Create engaging monthly, quarterly, and annual reports to share status on department deliverables.
  • Maintain CAL compliance and staff privileging/tracking procedures.
  • Assist with creation and delivery of employee training programs and materials; update training guides.

Overview

Planned Parenthood of Orange and San Bernardino Counties has a full-time opportunity for a Training Coordinator in Anaheim, CA.

The Training Coordinator will assume an administrative and collaborative role in assisting and supporting the programs, financials, and data collection efforts of the Education & Training (ET) and Community Education & Outreach (CEOD) teams. Manage the current LMS (CAL) system, ensuring all trainings launch and are completed on a timely basis.

Minimum Education:

  • Associate's degree or equivalent work experience required.

Minimum Work Experience:

  • A minimum of 1+ years of experience with training programs and managing multiple projects preferred, or 1 year of experience in an administrative support position.

  • This position may require travel to other sites and locations, so a valid CA driver’s license and current auto insurance in compliance with the minimum requirements of the CA vehicle code are required.

Responsibilities

Essential Functions: Essential functions encompass the required tasks, duties, and responsibilities performed as part of the job and the reason the job exists.

  • Support education presentations and programs by assisting with scheduling events on desired platforms, promoting events through mailing lists and community sites, handling registration for internal and external trainings/events, and providing technical assistance as needed.
  • Coordinate data collection tools such as sign-in sheets and surveys and updates as needed.
  • Reconcile all sign-in sheets and surveys on a monthly basis and maintain the electronic tracking of participants for CEOD and ET events.
  • Provide administrative support for CEOD and ET depts, such as assisting with meetings, tracking attendance, reconciling financial transactions, and other tasks as needed.
  • Create engaging monthly, quarterly, and annual dept reports to share status on dept deliverables and other information as requested.
  • Maintain record keeping for CAL compliance and staff privileging/tracking procedures.
  • Assist with the creation and delivery of employee training programs and maintaining relevant training materials and documentation
  • Work with subject matter experts to enhance existing training material and improve learning outcomes. Updates existing training guides to ensure instructional integrity of all training materials.
  • Works closely with all teams to ensure new updates and changes are communicated & implemented in a timely and effective manner.

Content Development

  • Develops and/or edits a variety of training-related content: alerts, bulletins, intranet content, manuals, presentations, job aids, e-learning, etc.
  • Updates/Maintains Learning website(s) with the latest documentation (information, process changes, etc.).
  • Uses training templates, standards, and guidelines, and common methodology as defined by the Education & Training Team to ensure consistent deliverables across audiences and modules.
  • Engages SMEs to ensure relevant learning. Adequately scopes, communicates, and plans for SME involvement to ensure accurate content design.
  • Participates in quality assurance oversight related to all training deliverables.

Brand, Template, and Content Management

  • Ensures all content produced by the Education & Training Team adheres to the team style guide.
  • Maintains the Education & Training team’s training materials following team standard guidelines on the intranet.
