Job summary

The Melanoma Research Foundation (MRF) is seeking an Education Program Coordinator to support the planning, coordination and execution of the Education Department programs and events. This role is primarily responsible for coordinating and executing MRF’s educational events and webinars, including logistics, vendor management, registration, budgeting and onsite event support.

Qualifications

  • Bachelor’s degree in public health, nonprofit management, communications, education, event management, business administration, or related field.
  • 2–4 years coordinating events, educational programs, project management, or nonprofit operations; healthcare or nonprofit experience preferred.
  • Demonstrated experience planning and executing in-person and virtual events, including managing event platforms, logistics, vendors, registration and event materials.
  • Strong organizational and project management skills with the ability to prioritize multiple projects, manage competing deadlines and maintain exceptional attention to detail.
  • Experience managing budgets, processing invoices, tracking expenses and reconciling event-related financials.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual meeting platforms, online registration systems and project management tools. Familiarity with Canvas, SurveyMonkey, DonorPerfect or CRM and website content management systems is preferred.
  • Ability to work independently while collaborating effectively in a fast-paced, mission-driven team environment.
  • Ability to lift and transport event materials weighing up to 30 pounds and travel domestically, including occasional evenings and weekends.

Responsibilities

  • Coordinate end-to-end logistics for seven annual Patient Symposia, including venue coordination, registration, catering, audiovisual services, vendors, exhibitors, signage, educational materials, shipping, speaker travel and on-site event execution.
  • Manage event registration and participant communications, including creating and maintaining registration pages, tracking attendance, preparing attendee materials and communicating with speakers, participants, cancer centers and partner organizations.
  • Manage event budgets and financial administration, including invoice processing, expense tracking, vendor negotiations, financial reconciliation, scholarship reimbursements and grant reconciliation.
  • Serve as the primary liaison for event logistics, coordinating with venues, vendors, audiovisual teams, printers, caterers, exhibitors, speakers and internal departments to ensure successful program delivery.
  • Coordinate the production, inventory, packaging, shipping and distribution of educational and event materials, ensuring resources are prepared and delivered accurately and on time.
  • Manage logistics for the Ask the Expert webinar series, including speaker forms and bio/headshot collection, registration, survey and calendar setup, technical coordination, promotional support, video editing coordination, virtual event support and post-event metrics reporting.
  • Coordinate volunteer engagement initiatives, including high school and college programs and melanoma survivor volunteers, to support MRF educational and outreach activities.
  • Coordinate SunAWARE™ Ambassador Program operations, including processing ambassador interest forms, managing access to training materials, maintaining tracking records and supporting bimonthly ambassador meetings.
  • Manage the SunAWARE™ curriculum request process, including processing requests, coordinating Adobe Sign agreements, granting curriculum access and tracking requests, dates, and feedback.
  • Maintain accurate program documentation, tracking systems, and post-event records, and coordinate timely follow-up with vendors, speakers, partners and participants.
