The Wisconsin Institute of Certified Public Accountants in Waukesha, WI seeks an Education Program & Event Coordinator to lead the planning and execution of professional education programs and member events.

In this role you will coordinate conferences, networking events and special initiatives that support thousands of members across the state, delivering engaging learning opportunities and valuable connections.

Qualifications

  • Bachelor's degree required in Business, Administration, Communications, Hospitality or Marketing.
  • Minimum 3 years' experience in customer service, event planning, administrative responsibilities.
  • Demonstrates exceptional customer service and strong organizational skills.
  • Excellent business writing and verbal communication; professional demeanor.

Responsibilities

  • Provides exceptional customer service and serves as contact for education programs and events.
  • Researches, develops and implements processes to select courses, vendors, and speakers for educational programs.
  • Organizes and coordinates programs, events, speakers, facility, catering, contracts, onsite logistics, and signage.
  • Researches new vendors and maintains relationships to provide strong programs.
  • Evaluates and negotiates contracts with vendors for facility, catering, AV, hotel and other needs.
  • Provides technical and logistical support both internally and onsite.
  • Maintains program and event files in database and on the website; processes transactions.
  • Maintains Outlook calendar for events and rentals; creates reports as needed.
  • Prepares and proofs materials; follows marketing and AP style guides.
  • Keeps documentation and processes updated; seeks to increase member satisfaction.
  • Oversees Professional Development Center rentals and contracts; backs up main phone line and mail.

The Wisconsin Institute of CPAs (WICPA) is the premier professional organization representing CPAs, accounting, and business professionals. With nearly 7,000 members, WICPA is dedicated to serving, building, and advocating for a diverse demographic of professional members.

The WICPA is looking for a detail-oriented, relationship-driven Education Program & Event Coordinator to lead the planning and execution of professional education programs and member events.

This is an exciting opportunity for an event planning and program management professional who enjoys creating outstanding experiences, building relationships, and managing projects from concept to completion. In this role, you will coordinate professional education programs, conferences, networking events, and special initiatives that support nearly 7,000 members across the state.

You’ll play a key role in delivering engaging learning and networking opportunities that help accounting and business professionals advance their careers and build valuable connections.

Responsibilities:

  • Provides exceptional customer service and serves as contact for education programs and events.
  • Researches, develops and implements processes to select appropriate courses, vendors, and speakers to present at assigned educational programs. Ensures the development of successful programs designed to increase customers' competencies and provide positive educational and networking experiences.
  • Organizes and coordinates programs, assigned special events, speakers, facility, catering, contracts, onsites, program descriptions, signage and assigned seminar and breakfast programs. Serve as key onsite staff to assist, prepare and oversee success of events.
  • Researches new vendors and maintains and develops new relationships with vendors to provide commission based programs.
  • Evaluates and negotiates favorable contracts with vendors and suppliers for facility, catering, audiovisual, hotel and other needs.
  • Provides technical and logistical support both internally as well as onsite.
  • Accurately maintain program and event files in database and on the website.
  • Accurately processes all transactions related to education and event programs.
  • Maintains Outlook calendar for all events, programs and rentals.
  • Creates and/or updates databases and spreadsheet reports for projects.
  • Prepare, proof and edit materials as needed for accuracy, spelling, grammar and punctuation. Follows marketing and AP style guides as appropriate.
  • Keeps documentation and processes updated.
  • Finds ways to increase member satisfaction.
  • Responsible for Professional Development Center rentals and contracts.
  • Backs up main phone line and mail.

Requirements:

  • Bachelor's degree from an accredited institution in Business, Administration, Communications, Hospitality or Marketing
  • Minimum 3 years' previous experience in customer service, event planning, administrative and clerical responsibilities.
  • Demonstrates exceptional customer service.
  • Must possess strong organizational, project management, attention to detail, and problem-solving skills.
  • Exemplary business writing and verbal communication skills.
  • Exhibits high performance and professionalism with staff, members and vendors.
  • Advanced knowledge and experience in Microsoft Office, data entry, and report management.
  • Demonstrates good judgement and critical thinking in a high performance, fast-paced work environment.
  • Must be able to work independently and in a team-oriented environment.
  • Must possess a valid driver's license and reliable source of transportation and must be able to travel as scheduled.
  • Must be able to work additional time as required including occasional before and after work hours for events and overnights.
