Job Summary

Responsible for coordinating and managing medical education programs by fostering relationships with healthcare providers, such as physicians, nurses, and other clinical professionals, to facilitate their professional development and ensure the organization offers high-quality educational opportunities.

Essential Functions
  • Collaborate with internal stakeholders, such as medical staff, department heads, and education committees, to identify educational needs and develop comprehensive medical education programs.
  • Establish and maintain relationships with healthcare providers to understand their educational needs and promote participation in the organization’s programs.
  • Organize and manage educational events, including scheduling, venue selection, logistics coordination, and securing necessary resources (e.g., speakers, audiovisual equipment, materials).
  • Ensure that the organization’s educational programs meet the requirements of accrediting bodies and regulatory agencies responsible for CME.
  • Develop marketing strategies and materials to promote medical education programs to healthcare providers.
  • Collect feedback from participants, instructors, and stakeholders to assess the effectiveness and impact of educational programs.
Qualifications Description

Under the direction of the MGB Pathology Director of Education and the Senior Manager, the Education Program Coordinator is responsible for the day-to-day operations, onboarding and management of visitors (observers and non-employee researchers) in the Department of Pathology. The education program coordinator is also responsible for the operational management of the various CME programs and trainee lecture series in the Department of Pathology.

Principal Duties and Responsibilities
  • Oversee observer process by scheduling all observers and non-employee researchers and monitoring and fairly adjudicating requests from faculty and visitors following MGB Pathology Education Office Visitor guidelines.
  • Serves as primary point of contact for all visitors to the department.
  • Onboards all visitors by collecting required documents, facilitating visas and payment from the visitor (when applicable).
  • Ensures visitors are cleared and approved by Occupational Health and Sponsored Staff Office.
  • Monitors visitor compliance with all institutional requirements such as HealthStream trainings and compliance with MGB vaccination requirements.
  • Serve as administrator for Pathology Grand Rounds and other residency and fellowship lecture series, working with the MGB CPD office to submit required documents to achieve ACCME CME credit for each conference.
  • Provide overall direct support to the Course Directors as needed.
  • Assists with special projects as directed.
  • Performs duties with minimal supervision.
QUALIFICATIONS

Associate’s degree is required; Bachelor’s preferred. Work experience 2-3 years in the following areas: Graduate Medical Education, Hospital or Healthcare strongly preferred.

Excellent interpersonal, oral and written communication skills. Excellent critical thinking and time management skills. Astute attention to details, commitment to accuracy and integrity of all data, reports, and communications. Ability to work independently, take initiative and work in fast pace, team environment as well as have the ability to exercise decision-making skills, to prioritize workload and to manage multiple complex and concurrent projects and tasks assigned to the Senior Program Coordinator.

Requirements

With the increasing scope and complexity of program requirements and documentation, the Education Program Coordinator must have excellent organizational skills, effective analytical skills and have an ability to exercise independent and sound judgment. Must be able to triage multiple priorities and meet deadlines in a complex environment with multiple interruptions. Excellent communications skills are essential, including verbal, written, and computer communication abilities. Strong critical thinking, problem-solving and attentiveness to detail required. This individual will be interacting with a variety of staff at many levels, often dealing with confidential information and strong interpersonal skills are critical. Must possess excellent computer skills including MS Word, Excel, and Outlook. Experience with web authoring would be helpful. Knowledge of, or ability to learn other software programs, especially GME New Innovations, hospital specific software (i.e., WorkDay and Beeline), and other database management programs as necessary (i.e., ERAS, ADS). Knowledge of basic financial analysis and budget processes helpful.
