Job summary

Palm Springs Life seeks an organized, detail-oriented Editorial Operations Coordinator to join our editorial team, ideal for someone early in their career to gain hands-on experience across modern magazine publishing. Qualifications

  • Bachelor's degree in journalism, communications, English, publishing, or related field.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Working knowledge of AP style and strong proofreading skills.
  • Experience with internships, student publications, publishing, media or creative production agencies is valued.

Responsibilities

  • Coordinate editorial production schedules across print, digital, newsletters, and special projects.
  • Track workflow between editorial, design, advertising, marketing, events, production, and other departments.
  • Coordinate editorial support for special publications, sponsored content, company events, and other cross-department projects.
  • Prepare agendas, materials, and follow-up notes for weekly editorial meetings.
  • Maintain editorial workflow systems and project management tools.
  • Follow up on assignments and deadlines to keep projects on schedule.
  • Proofread print, digital, newsletter, sponsored, and custom publishing content.

Job description

Palm Springs Life is seeking an organized, detail-oriented Editorial Operations Coordinator to join our editorial team. This role is ideal for someone early in their career looking to gain hands‑on experience across every stage of modern magazine publishing.

This is a full-time, in-office position based in downtown Palm Springs. Because this role depends on daily collaboration with editors, designers, and colleagues across the company, remote or hybrid arrangements are not available.

Founded in 1958, Palm Springs Life is an independently owned, award‑winning media organization dedicated to chronicling the people, places, architecture, culture, and lifestyle of the Coachella Valley. Every month, our team produces one of the nation’s leading regional lifestyle magazines, along with digital stories, newsletters, videos, special‑interest publications, custom publishing projects, and the official Guide to Greater Palm Springs.

Working alongside the Editor‑In‑Chief and a talented editorial team, you’ll gain exposure to nearly every facet of editorial operations — from editorial planning and project management to newsletters, fact‑checking, sponsored content, photography coordination, and special publications. No two days are alike, and every project offers the opportunity to build new skills while helping produce exceptional journalism.

Key Responsibilities
Editorial Operations
  • Coordinate editorial production schedules and deadlines across print, digital, newsletters, and special projects.
  • Help keep editorial projects moving by tracking workflow between editorial, design, advertising, marketing, events, production, and other departments.
  • Coordinate editorial support for special publications, sponsored content, company events, and other cross‑department projects.
  • Prepare agendas, materials, and follow‑up notes for weekly editorial meetings.
  • Maintain editorial workflow systems and project management tools.
  • Follow up on assignments and deadlines to help keep projects on schedule.
Editorial Production
  • Prepare layouts and proofs for editorial review and track revisions.
  • Coordinate sponsored content and custom publishing projects, communicating with clients, routing proofs, and tracking revisions through final approval.
  • Assist with photography and videography production and scheduling.
  • Organize photography assets and other editorial production materials.
Editorial Quality & Content
  • Proofread print, digital, newsletter, sponsored, and custom publishing content.
  • Fact‑check recurring editorial packages, including annual rankings, directories, and reference guides.
  • Write event recaps, calendar listings, service journalism, and other recurring editorial content.
Skills & Qualifications
  • Bachelor’s degree in journalism, communications, English, publishing, media studies, marketing, or a related field, or equivalent professional experience.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple deadlines in a fast‑paced environment.
  • Excellent written and verbal communication skills.
  • Working knowledge of AP style and strong proofreading skills.
  • Experience through internships, student publications, publishing, media or creative production agencies, project management, or professional communications is highly valued. Editorial experience with a magazine or newspaper is a plus.
  • Experience with Adobe Creative Cloud, Microsoft Office, Google Workspace, and project management software is a plus.
  • Comfortable using emerging AI tools to streamline editorial workflows while maintaining high editorial standards and fact‑checking rigor.
