Job summary

American Association for Justice (AAJ) in Washington, DC seeks an Editorial/Administrative Assistant for its Publications department. You will support editorial and administrative tasks, manage subscriptions via NetForum, coordinate invoices, and assist with distribution of Trial and Law Reporters.

The role requires a Bachelor’s degree and 1+ years of clerical experience, with strong writing, editing, proofreading, and organizational skills.

Responsibilities

  • Carry out administrative duties including monitoring mail, email, and voicemail; organizing retention shelves and issue files; drafting and distributing author letters.
  • Perform editorial duties, including assisting the Trial magazine staff, formatting manuscripts, proofreading, arranging and tracking peer reviews, and responding to unsolicited article submissions.
  • Coordinate and input non-member subscriptions and sales using NetForum, create and mail subscription renewal invoices, and communicate with subscription services.
  • Handle invoices for processing.
  • Assist with distribution of Trial and the Law Reporters.
  • Prepare and send PDFs of print and online content to authors and those licensed to distribute the content; respond to reprint requests.
  • Create and maintain indexes for topics, including authors, art, peer reviewers, and subscribers.
  • Serve as a backup to Online Content and Data Manager, including producing e-newsletters and website pages.
  • Attend and participate in art and issue-planning meetings.
  • Send draft articles to production company; send final copy to production as needed.
  • Maintain team Outlook calendar, noting important production dates.
  • Solicit answers to Trial’s Question of the Month and handle other sections of Trial.
  • Proofread pages and Insite, as needed.
  • Use NetForum, website, and other records to determine author information and engagement.
  • Draft the monthly Trial blurb for social media and the AAJ website.
  • Provide administrative assistance with AAJ Press books, including shipping, inquiries, and author royalties.
