Job summary

Brownstein Hyatt Farber Schreck LLP seeks an experienced eBilling Specialist to support the Finance Department in Denver, Las Vegas, or Reno. You will report to the eBilling Manager and work with the eBilling, billing teams, and attorneys across the firm.

Responsibilities include monitoring e-bill submissions, ensuring LEDES compliance, and coordinating with client vendors for issue resolution. Strong 3E/eBillingHub experience preferred, with attention to detail and timely communication.

Qualifications

  • Bachelor's degree in accounting, finance, or a related field preferred; equivalent combinations of education and experience will be considered.
  • Ability to demonstrate a high level of business acumen and professionalism with internal and external clients.
  • Self-directed with a strong work ethic and ability to work independently with limited supervision.
  • Prior legal eBilling experience required.
  • Prior administrative or professional services experience is a plus.
  • Experience with 3E and eBillingHub or similar systems.
  • Familiarity with electronic billing vendors (Legal Tracker, Collaborati, Passport, TyMetrix360, etc.).
  • Proficiency in Microsoft Word, Excel, and Outlook.

Responsibilities

  • Proactively monitor potential errors that may result in the rejection of e-bills.
  • Analyze time and disbursement entries for client billing guidelines and eBilling system requirements.
  • Process manual time/cost edits in eBilling Hub such as narratives and rate changes.
  • Prepare, modify, and transmit LEDES invoices as needed within LEDES files.
  • Use eBilling Hub to generate LEDES files and adjust invoices for transmission.
  • Submit invoices through eBilling Hub and client-specific platforms.
  • Monitor invoice submissions for issues like reductions or rejections.
  • Research invoice reductions/rejections and recommend resolutions, including appeals or write-offs.
  • Knowledge of eBilling/billing for insurance clients and compliance requirements.
  • Submit timekeeper rates for approval to various eBilling vendor sites; maintain allowed billers list in 3E.
  • Assist Billing Attorneys and staff with setup for eBilled matters (task codes, matter numbers, etc.).
  • Collaborate with client contacts and eBilling vendors to obtain matter access and resolve issues.
  • Create and maintain user accounts within eBilling vendors and eBilling Hub.
  • Coordinate with vendor support to resolve invoice submission issues.
  • Respond to emails/voicemails within one hour.
  • Assist with budgets, status reports, and accruals submission to e-Billing sites and clients.
  • Provide guidance to the team on handling invoices effectively.
  • Support attorneys and staff with eBilling vendor access and navigation.
  • Exercise good judgment in responding to billing requests and interactions with management.

We have an immediate need for an eBilling Specialist to support our Finance Department in our Denver, Las Vegas, or Reno office. The eBilling Specialist reports to the eBilling Manager and works closely with the eBilling team, billing team, and attorneys across the firm.

Essential Duties and Responsibilities:
  • Proactively monitor potential errors that may result in the rejection of e-bills.
  • Analysis of time and disbursement entries to ensure compliance with client billing guidelines and eBilling system requirements.
  • Process manual time/cost edits in eBilling Hub, such as narratives, adjustments, rate changes.
  • Ability to directly within LEDES files to manually prepare, modify, and transmit invoices as needed.
  • Ability to work within eBilling Hub platform to generate LEDES files and manipulate invoices for transmission.
  • Submit and manage invoices through the eBilling Hub and various client-specific eBilling platforms.
  • Monitor invoice submissions for any potential issues such as reductions or rejections.
  • Research invoice reductions and rejections and recommend appropriate resolution strategies, including appeals or write-offs.
  • Knowledge of the eBilling/billing process for insurance clients to ensure compliance with billing requirements.
  • Submit timekeeper rates for approval to various eBilling vendor sites, create and maintain allowed billers list within 3E accounting system.
  • Assist with timekeeper rate compilation and submission during annual rate seasons.
  • Work directly with Billing Attorneys and legal assistants to ensure accurate set-up for eBilled matters. This includes task codes, internal client matter numbers and various other billing requirements.
  • Work closely with client contacts and eBilling vendors to obtain matter access, establish billing profiles, and resolve eBilling-related issues.
  • Create, maintain, and implement new user accounts within eBilling vendor sites and the eBilling Hub.
  • Collaborate with eBilling vendor technical support teams to resolve invoice submission issues.
  • Appropriately respond to emails and voicemails within a one-hour window.
  • Assist with preparation and submission of budgets, status reports and accruals to various e-Billing sites and clients.
  • Provide guidance to the team on an ongoing basis by setting an example for effectively handling assigned invoices.
  • Assist attorneys and staff with access and navigation of eBilling vendors.
  • Demonstrate solid judgement and professionalism when executing Billing Attorney requests, and when interacting with team members and senior management.
  • Proactively seek and provide recommendations to improve existing eBilling processes, training, and resources.
  • Follow escalation protocol if unable to respond to clients’ questions regarding invoices or other billing concerns.
Required and Preferred Qualifications:
  • Bachelor's degree in accounting, finance, or a related field preferred; equivalent combinations of education and experience will be considered.
  • Ability to demonstrate a high level of business acumen and professionalism when working with internal and external clients at all levels.
  • Self-directed with a strong work ethic; capable of working independently with limited supervision.
  • Prior legal eBilling experience required.
  • Prior administrative or professional services experience is a plus.
  • Previous experience with 3E and eBillingHub or similar systems.
  • Knowledge of standard accounting and billing procedures, 3E or similar accounting software and familiarity with a variety of electronic billing vendors (Legal Tracker, Collaborati, Passport, TyMetrix360, etc.).
  • Mathematical aptitude, excellent written and verbal communication skills, strong interpersonal skills, the ability to work independently or on a team that is customer service orientated.
  • Proficiency in Microsoft Word, Excel, and Outlook.
Compensation and Benefits:

Brownstein Hyatt Farber Schreck offers a benefits package that includes medical, dental, vision, 401k + match, profit sharing, and vacation/sick/personal time off. We are offering a wide range salary for this role that is commensurate with experience, ranging from $69,000 to $76,000.
