Job summary

MECA Therapies LLC in Hobbs, New Mexico, is seeking an organized Early Childhood Intake Coordinator (ECIC) to oversee initial evaluations and the IFSP process for children entering Early Intervention services. You will coordinate with families, Family Service Coordinators, and professionals to ensure timely, accurate documentation.

The role supports quality assurance, file auditing, staff training, data management, and adherence to MECA, ECECD, and New Mexico FIT requirements across provider

Qualifications

• Bachelor's degree in Family & Consumer Science or related field; Early Childhood preferred.
• Certificate of Special Instruction through the New Mexico FIT Program and related credentials.
• Completion of an Individualized Professional Development Plan.
• Strong organizational and record-keeping skills.

Responsibilities

• Complete Early Intervention intakes as assigned.
• Complete initial evaluations and required CME activities.
• Complete Initial IFSPs in accordance with program requirements and timelines.
• Coordinate with the Early Childhood Regional Director regarding staff and caseload assignments.
• Assist with assigning ongoing staff and Team Leads.
• Review evaluation reports and Initial IFSPs for accuracy, completeness, and compliance.
• Audit files throughout the initial process to ensure required documentation is complete and accurate.
• Provide training, support, and guidance to Family Service Coordinators and Developmental Specialists.
• Provide observation and learning opportunities for interns and new staff.
• Participate in required screenings and community outreach activities.
• Support accurate and timely client information within FITKIDS and MECA's database systems.
• Provide services throughout the assigned region as needed.
• Maintain confidentiality and protect the rights of children and families.
• Follow MECA policies, ECECD requirements, New Mexico FIT standards, and state and federal regulations.
• Perform other duties as assigned.

MECA Therapies is seeking an organized, detail-oriented, and collaborative Early Childhood Intake Coordinator (ECIC) to join our Early Intervention team.

The ECIC plays an important role in coordinating the initial evaluation and Individualized Family Service Plan (IFSP) process while supporting compliance with New Mexico FIT and ECECD requirements.

Position Summary

The Early Childhood Intake Coordinator (ECIC) is responsible for overseeing and completing the initial evaluation and Initial IFSP process for children entering Early Intervention services.

The ECIC coordinates with families, Family Service Coordinators, Developmental Specialists, therapists, and regional leadership to ensure evaluations and Initial IFSPs are completed accurately and within required timelines.

This position also supports quality assurance, file auditing, staff training, caseload assignments, data management, and compliance with MECA, ECECD, New Mexico FIT, state, and federal requirements.

Services and responsibilities may be performed in provider locations, homes, and community settings throughout the assigned region.

Qualifications

Required

• Bachelor's degree in:
• Family & Consumer Science
  • Early Childhood
  • A related field recognized under the New Mexico Developmental Specialist Certification Policy
• Certificate of Special Instruction through the New Mexico FIT Program.
• Completion of an Individualized Professional Development Plan.
• Strong organizational and record-keeping skills.

• Experience working with children birth to three and their families.
• Previous Early Intervention/FIT experience.
• Experience completing evaluations or Initial IFSPs.
• Knowledge of ECECD and New Mexico FIT requirements.
• Experience with quality assurance, file auditing, or compliance.
• Experience training or mentoring staff.
• Bilingual (English/Spanish) preferred.

Essential Responsibilities

Productivity Expectations

The ECIC is expected to maintain a minimum productivity target of:

• 15 completed Initial IFSPs per month

The ECIC generally does not maintain an ongoing caseload but may carry an interim caseload based on regional needs and direction from the Early Childhood Regional Director.

Documentation & Data Management

The ECIC is responsible for maintaining accurate and timely documentation within applicable MECA and program systems.

Responsibilities include:

• Entering Initial IFSPs and required ECO information.
• Tracking evaluations and Initial IFSPs.
• Completing required intake documentation.
• Maintaining accurate client information in FITKIDS and MECA systems.
• Completing weekly and monthly documentation.
• Submitting required billing documentation within established timelines.
• Participating in file audits and quality assurance reviews.
• Ensuring documentation meets MECA and ECECD/FIT requirements.

Staff Development & Training

The ECIC provides support, training, and guidance to members of the Early Childhood team.

Responsibilities include:

• Providing in-house training and consultation to staff.
• Supporting the training and development of new Family Service Coordinators and Developmental Specialists.
• Maintaining required certification through the New Mexico FIT Program.
• Completing all required MECA and program-specific training.
• Participating in staff meetings and professional development activities.

Supervision & Support

The ECIC reports directly to the Early Childhood Regional Director for the assigned region.

Because the ECIC maintains a Developmental Specialist certification, the position will participate in monthly reflective supervision in accordance with New Mexico FIT requirements.

The ECIC will work closely with Early Childhood leadership, including:

• Early Childhood Regional Director
• Early Childhood Lead Coordinator
• Assistant Regional Director
• Lead Family Service Coordinator

Quality Assurance Expectations

The ECIC plays an important role in maintaining quality and compliance throughout the Early Intervention intake process.

The ECIC is expected to:

• Ensure children and families understand and are treated in accordance with their rights.
• Maintain ethical and family-centered practices.
• Ensure evaluations and Initial IFSPs are accurate, complete, and timely.
• Conduct and support file audits and quality assurance activities.
• Identify documentation or compliance concerns and work with leadership to address them.
• Ensure services and documentation comply with MECA policies, ECECD requirements, New Mexico FIT standards, and applicable state and federal regulations.
