EOS Hospitality is seeking a Sales Coordinator to support the sales team across inquiries, proposals, events, and client communications. You will maintain records, coordinate site visits, manage group blocks, and ensure exceptional service to clients and internal stakeholders. The role requires strong organization and a service mindset.

This on-site position in Florida supports a dynamic hospitality operation and collaborates with multiple hotel departments to deliver seamless event experiences.

Responsibilities

• Respond to incoming sales inquiries via phone, email, and in-person in a timely and professional manner.
• Prepare sales proposals, contracts, and other sales-related documents accurately and efficiently.
• Assist in the development and distribution of sales materials and presentations.
• Maintain and update the customer database with accurate and current information.
• Generate sales reports and track sales activities as required.
• Coordinate and schedule appointments, site visits, and client meetings.
• Builds group blocks and manages rooming lists and individual/group reservations.
• Assist with pre and post event needs (reader boards, points, amenities).
• Assist in the planning and execution of events, including meetings, conferences, and social gatherings.
• Coordinate with various hotel departments to ensure seamless event execution.
• Prepare event orders and ensure all details are communicated clearly to relevant departments.
• Assist with on-site event coordination and problem-solving.
• Post events follow up, including sending thank you notes, and requesting feedback.
• Provide exceptional customer service to clients and internal stakeholders.
• Address client inquiries and resolve issues promptly and professionally.
• Build and maintain strong relationships with clients to foster repeat business.
• Act as a liaison between the client and the hotel.
• Maintain accurate records of sales activities, contracts, and client communications.
• Process sales orders and invoices.
• Manage and organize sales files and documents.
• Assist with administrative tasks as needed.
• Assist with the creation of group blocks.
