Qualifications

  • 5+ years managing DOT/FMCSA compliance for a multi-location commercial fleet.
  • FMCSA Parts 382, 383, 391, 395, and 396 knowledge.
  • Hands-on administrative experience with a telematics/ELD platform (Samsara preferred).
  • Experience preparing for FMCSA compliance reviews.
  • Ability to exercise independent judgment and make binding compliance determinations.
  • Excellent cross-departmental communication skills.

Responsibilities

  • Prepare for FMCSA regulatory audits and maintain records.

Job description

Position: DOT Compliance Coordinator

Employment Status: Full-Time, Salary, Exempt

Reports to: Safety & Risk Manager

Location: Bonner Springs, KS 66012

JOB SUMMARY:

The DOT Compliance Coordinator will develop and maintain the Company’s DOT/FMCSA compliance program as well as lead the deployment of and maintain the telematics and electronic logging platform for the regulated fleet.

This role is expected to support the Company’s project work in multiple locations as assigned. Travel will be required.

RESPONSIBILITIES AND DUTIES:
  • Lead program implementation across the regulated fleet as scoped by the population determination, with vendor professional services and Service department support for hardware installation
  • Serve as the company's subject matter expert and primary administrator for the Samsara platform (ELD, HOS compliance, driver/vehicle event recorders, and related modules) and DOT-FMCSA compliance
  • Develop rollout plans, timelines, and unit-by-unit deployment tracking
  • Build and maintain documentation, SOPs, and training materials to support long-term program sustainability
  • Monitor fleet-wide DOT-FMCSA compliance, identify violations or risk trends, and drive corrective action. Maintain FMCSA Accident Register.
  • Stay current on FMCSA regulations and industry requirements, ensuring WCR's program meets or exceeds all federal and state mandates.
  • Coordinate post-crash investigations involving regulated drivers.
  • Track preventability determinations and support data submissions when applicable.
  • Manage event recorder data for incident review, coaching, and risk mitigation purposes
  • Own, jointly with Legal, the written retention schedule for telematics, ELD, and event recorder data. Execute litigation-hold instructions suspending routine deletion upon notice of a claim, incident, or reasonably anticipated litigation.
  • Prepare compliance reporting and audit-ready documentation for leadership and regulatory review
  • Maintain Driver Qualification Files for regulated drivers
  • Perform annual review of permitting process, identify corrective actions / preventative actions (CAPA) and work with various departments and managers to deploy CAPA
  • Prepare for FMCSA regulatory audits and maintain appropriate records and filings in support of successful audits
  • Conduct quarterly audits of DOT compliance programs including Driver Qualification files, HOS, vehicle maintenance, drug and alcohol testing and accident register records. Report findings and recommend corrective actions to leadership.
  • Monitor and analyze BASIC percentiles and drive corrective action on the underlying compliance behaviors.
  • Partner closely with Safety on driver coaching, incident review, and risk reduction initiatives tied to ELD/event recorder data
  • Work with Operations to integrate compliance requirements into dispatch and scheduling practice, identifying process designs that achieve compliance with minimum operational disruption.
  • Coordinate with Fleet Management on unit onboarding/offboarding, hardware installation, and asset lifecycle tracking within Samsara
  • Align with Service on installation, maintenance, and technical troubleshooting of ELD hardware across all locations
  • Train drivers, dispatchers, and location-level staff on ELD use, HOS rules, and Samsara tools
  • Act as the escalation point for field-level technical or compliance questions
  • Support new hire onboarding and driver separation processes as they relate to ELD/Samsara data
QUALIFICATIONS AND SKILLS:
  • 5+ years managing DOT/FMCSA compliance for a multi-location commercial fleet
  • Clean driving record
  • Working knowledge of the FMCSRs, particularly Parts 382, 383, 391, 395, and 396
  • Hands-on administrative experience with a telematics/ELD platform (Samsara preferred) including configuration, exception management, and reporting
  • Demonstrated experience preparing for and responding to FMCSA compliance reviews
  • Ability to exercise independent judgment and make binding compliance determinations
  • Excellent cross-departmental communication skills
PREFERRED SKILLS (Not Required)
  • Crane, heavy haul, or specialized transportation experience
  • Knowledge of state oversize/overweight permitting requirements. Oversize/overweight permitting interaction with HOS planning
  • Project management of a multi-phase technology rollout
  • Experience training non-technical field personnel
  • Current CDL or prior commercial driving experience
  • Familiarity with FMCSA exemptions related to crane operations.
  • Experience with interstate and intrastate carrier operations.
  • Associates or bachelor's degree in Safety, Transportation, Logistics, Risk Management, or related field.
  • A CDS designation (Certified Director of Safety)
PHYSICAL DEMANDS:
  • While performing the duties of this job, the employee is required to sit, stand, walk, stoop or crouch, climb stairs and access uneven terrain.
  • The work environment involves working in both office and field environments, including exposure to potential safety hazards in varying weather conditions.
  • Must be able to wear all required PPE.
