Job summary

Rose Community Foundation in Denver seeks a Donor Services & Database Associate to maintain the donor database (Donor Central/Foundant) and support grantmaking and donor services. You will ensure data quality, build user communities, and assist staff with lists, reports and imports while coordinating system upgrades and security settings.

The role supports fundholder relationships, donor platforms, and online grants.

Donor Services & Database Associate (RCF)

Rose Community Foundation strives to enhance the quality of life of the Greater Denver community through leadership, grantmaking and donor engagement – stewarding philanthropic resources and investing in strategic and innovative solutions to enduring challenges and emerging issues. Since 1995, the Foundation has granted more than $280 million to organizations and initiatives focused on Aging, Child and Family Development, Education, Health and Jewish Life in the Greater Denver area – recently adding a cross-programmatic community action overlay of support for organizations serving immigrants, refugees and communities vulnerable to discrimination and hate crimes.

We are seeking a donor services and database associate to support key fundraising and grantmaking functions for the Foundation. This role offers an exciting opportunity to apply database and operational skills to an organization committed to improving lives in our community.

Responsibilities

This position will be the primary point person on the database that the Philanthropic Services team uses to capture and monitor donor activity and relationships (currently FIMS), with the following specific responsibilities:

  • Assure the quality of data contained within the database and lead ongoing, regular maintenance efforts
  • Create a community of users who understand how to use and maintain the database, while troubleshooting and assisting users as needs arise
  • Lead and assist staff in efforts to create mailing and invitation lists, reports and imports
  • Maintain all code tables including affiliation codes
  • Initiate, rollout and document processes and process changes
  • Perform setup, permissions and training for all employees
  • Coordinate all upgrades and patches to the database software

This position will support key fundholder relationships, with the following specific responsibilities:

  • Respond to inquiries from donor-advised fundholders and provide technical assistance for the donor technology platform (Donor Central)
  • Process matching gifts and donor-advised fund distributions
  • Distribute quarterly statements to fundholders

This position will support the grantmaking operations of the Foundation, with the following specific responsibilities:

  • Respond to inquiries from prospective grantee applicants and provide technical assistance for the online grants portal (Foundant)
  • Process grant forms as they are received online
  • Draft basic grant agreements to reflect conditions and contingencies, payment schedules and reporting requirements
  • Ensure accuracy, completeness and integrity of grant files
  • Prepare grant check requests and award letters and schedule reporting reminders

  • Demonstrated ability to manage multiple projects and deadlines simultaneously and still deliver on-time, high-quality content
  • A minimum of three years of work experience utilizing a database with a preference for experience with a CRM software
  • Ability to effectively present information and respond to questions from Foundation stakeholders and employees
  • Working knowledge of the Microsoft Office suite (Excel, Outlook, PowerPoint and Word)
  • Bachelor’s degree or equivalent experience
  • Demonstrated track record of being responsive and maintaining positive working relationships with internal and external stakeholders

Supervisor Relationship

The donor services and database associate reports to the VP of Philanthropic Services but will also work closely with the Grants Manager. This position does not have any supervisory responsibilities.

Salary and Benefits

This full-time, exempt position’s starting salary range is high $40,000s to low $50,000s, commensurate with background, experience and sector benchmarks.
